An exciting opportunity has arisen to provide high quality administrative support to Bury/HMR Older Adult Community Liaison Team ensuring that the highest standards are maintained in line with the Trust's policies and procedures.
Responsibilities include:
1. Receiving and dealing with all incoming telephone calls and taking messages as appropriate in a professional, polite, and efficient manner.
2. Retrieving voicemail messages and responding to callers.
3. Communicating professionally and effectively with internal and external contacts using a variety of methods.
4. Collecting, collating, inputting, and extracting data into/from NHS systems as directed by team Manager.
5. Maintaining the safe storage of data and information in accordance with Trust policies, ensuring guidelines regarding confidentiality, disclosure of information, and Data Protection are observed at all times.
6. Maintaining administrative systems set up in team offices to ensure an organised and efficient working environment for staff.
7. Undertaking various clerical duties such as photocopying, faxing, filing, and dealing with incoming and outgoing post.
8. Basic word processing, which may include letters, memos, notes, record cards, messages, and email communication.
9. Notifying patients of appointments and cancellations by issuing computerised letters and updating in-house systems and e-referral as required.
10. Undertaking reception duties within the department.
11. Ordering stock and non-stock items for the department.
12. Collating, providing, receiving, and appropriately storing sensitive and confidential information.
13. Working flexibly to cover secretarial/administrative duties in the absence of colleagues and where appropriate, deputising for your line manager.
14. Working as part of a team, relating and interacting effectively with colleagues.
15. Effectively working within the team to collectively complete daily tasks and prioritise personal workload.
16. Actively contributing to personal development by producing a personal development plan with the line manager.
17. Ensuring the safe use of all equipment and reporting any risks, incidents, or complaints according to Trust policies.
