We are looking for a hardworking, highly motivated, and enthusiastic individual to join our busy & friendly Management and Reception teams who can provide a high standard of support, create great experiences for our patients and staff alike whilst delivering effective results in all areas. Ideally, we are looking for someone with previous GP Reception Team Leader / Management experience however, this is not essential if other suitable experience is available. Full training will be provided.
Pace and dedication are key attributes needed by the post holder whilst a flexible approach to working is essential. The opening hours currently range between 08:00am and 06:30pm. Candidates must be flexible to cover annual leave and absence where necessary with the addition of early opening and weekend clinics where needed. We are flexible regarding working days however expect the hours to be split over 4 days at 8 hours per day, after a 30-minute unpaid lunch break.
Main duties of the job
Job Purpose:
To deputise and cover the day to day running of the practice in the absence of the Practice Manager or Deputy Practice Manager
To ensure Reception administration and appointment duties are delivered successfully
To co-ordinate and participate in Reception duties ensuring Reception staff are supported, all patients and visitors are treated, by all, in a professional and pleasant manner
To commit to providing excellent customer service for all patients at The Hollies Medical Centre.

Job description
Job responsibilities
Staffing:
Responsible for the motivation and development of the reception team
Review and implement efficient processes in conjunction with the management team
Leading by example to ensure ongoing training for the reception team
Assist Management team in recruiting and training new staff members
Provide feedback to management team for staff reviews and appraisals
Control compliance in line with Practice protocols and procedures
Review and implement efficient ways of work in conjunction with management team
Ensure reception team is effectively trained to ensure patients are directed to appropriate services using care navigation or other processes
Deal with and delegate out other GP, Clinical Staff and Administrative queries
Raise staffing issues from the Reception Team and liaise with management to resolve issues
Circulate information and communications to the reception team appropriately and following up actions appropriately
Administrative ownership of Rotas, ensuring appropriate cover throughout the working day in periods of annual leave and sickness
Inclusive of extended hours, out of hours clinics Flu clinics and holiday/sickness cover
Ensure patients are directed to the appropriate services using care navigation along with other relevant processes
Administration:
Control the day to day operational and administrative running of Reception
Control and log all payments taken at reception appropriately
Assist in arranging and participating in training events
Maintain practice intranet and shared drive with appropriate information pertaining to reception
Maintain high quality patient information, including noticeboards, social media and website information
Participate in the daily Reception tasks whilst looking to improve procedures taking place there
Carry out any other delegated duties considered appropriate to the post
Be first point of call for patient complaints, resolving where possible and escalating to management team where appropriate
Monitor and provide administrative tasks including new patient registration, baby and mother immunisation, patient record requests and any other reception processes and tasks
Feedback patient comments and compliments to the practice team
IT:
Resolve IT issues at reception where possible
Liaise with relevant organisation to provide operational support and resolve hardware problems in Reception
Sponsor for Smartcard updates and applications
Standardise use of SystmOne and promote effective use of systems by Reception
Health & Safety:
The post holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice Health & Safety Policy, to include:
Using personal security systems within the workplace according to practice guidelines
Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
