This role will be directly supporting the Immigration and Employment teams
What You'll Do:
* File Management: Assist in the opening and closing of files. Maintain electronic filing systems to ensure they are accurately updated.
* Mailbox Management: Support fee earners by prioritising and categorising emails, and draft responses for basic client requests.
* Diary Management: Help schedule meetings, preventing client meeting clashes, and ensure fee earners have necessary materials.
* Client Liaison: Take messages, relay information, and handle simple queries with professionalism.
* Document Preparation: Undertake limited typing for urgent and assist with preparing legal .
* Collaboration with Legal Support Services: Delegate appropriate tasks to ensure efficient use of PA time.
* Expiries Tracking: Monitor visa expiry dates and send reminders to fee earners.
* Billing Support: Assist with tracking time recording updates and help with the preparation of draft invoices and standard billing narratives.
* New Client Onboarding: Assist in preparing AML forms and engagement letters, liaising with clients for documentation needed.
* Marketing Support: Assist with photography coordination, content updates on the website, and proof-reading.
* Business Development Support: Help manage fee earners' contact data, and assist in organizing conference calls and international travel arrangements.
* Team Support: Provide assistance to team members as needed and undertake additional ad hoc tasks when required.
What We're Looking For:
* Basic experience or internship as a Legal Secretary/PA is beneficial.
* Basic understanding of billing processes and diary management.
* Good communication skills with an ability to build rapport with clients and colleagues.
* Team player attitude, eager to support and learn from others.
* Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook) and familiarity with typing and document production.
* Willingness to learn about legal document management systems.
* Interest in developing technical skills relevant to a legal PA role.
