We at Leicestershire Partnership Trust have an exciting opportunity for a full-time Senior Administrator to join our Adult Learning Disability and Autism Assessment Service based at Winstanley Drive Health Centre in Leicester.
We are looking for an administrator with great organisational and communication skills to lead in all administration tasks involved in supporting our multi-disciplinary team.
This will involve booking appointments and sending out relevant paperwork, supporting our clinicians and clients with email or phone-based queries, and assisting with data collection and service evaluation and development.
The Following Skills Are Essential To The Role
1. Excellent written and verbal communication skills. The client group may have barriers to communication and understanding that need to be considered.
2. Good general level of education including GCSE in English Language grade C or equivalent. Evidence of this qualification is required.
3. Previous experience in an administrative role, where time management and organisation were used to meet work requirements and complete demands.
4. Allocate, supervise, and monitor the quality and throughput of work undertaken by administrative support staff within the team as required. Delegate and direct the efforts of the team to work priorities and to meet deadlines.
5. Good working knowledge and experience of using Microsoft Office packages.
6. Excellent interpersonal skills, team working ability, and experience of providing customer service.
7. NVQ 2 in administration or able to demonstrate equivalent knowledge and experience.
8. Highly motivated and adaptable to meet the needs of the service and team, as the work systems and processes need to constantly adapt to changing demands and requirements.
9. You will need to demonstrate the ability to plan and complete a range of tasks to deadline accurately. That you understand the organisational and legal requirements when working with confidential and sensitive information, showing attention to detail, and always maintaining accuracy.
Operating SystmOne, a national NHS electronic patient record system, is a key requirement of this role, and whilst full training will be provided, there is an expectation that applicants would need to be skilled and confident in adapting to work with complex electronic systems.
In addition, there may be a requirement to work flexibly in terms of working hours and locations to provide office and clinic cover.

Job Description Summary (Main Duties And Responsibilities)
1. Implement and maintain office systems to store and record information needed for the smooth running of the team and service e.g., pending, action, follow-up, absence information including leave, training, expenses, and rosters.
2. To arrange, attend and take notes of meetings ensuring agreed actions are followed up.
3. To coordinate clinical and non-clinical appointment arrangements to plan and organise patient and service activities. This will include notifying individuals e.g., parents, carers, staff, applicants etc. of appointments and dealing with changes, cancellations, and any additional needs as required. To ensure that planned appointments make best use of time and are confirmed.
4. Manage and organise own work and that of others to ensure that this can be covered by colleagues effectively in the event of planned and unplanned absence. To provide administration cover to meet additional demands or other circumstances where a service need is created.
5. To deal with patient referrals ensuring that they are processed and coordinated within service-specific protocols to assist with the quality of patient care.
6. Ensure all incoming and outgoing workflow e.g. post, e-mails, correspondence, referrals, electronic tasks/contacts via service information systems are managed in a timely manner and in line with any standards/standard operating procedures identified.
