Key Responsibilities:
1. Co-ordination of Services: Organise and allocate staff for services, liaising with customers to ensure minimal downtime and quick resolution.
2. Timesheet Management: Input timesheets on a daily basis to ensure accurate tracking of work completed.
3. Customer Communication: Regularly update customers, chase for order numbers, and ensure timely invoicing for completed jobs.
4. Estimates and Invoicing: Create and send estimates for additional work within 24 hours and invoice all completed work promptly. Resolve any customer invoice queries.
5. Work in Progress (WIP): Maintain a minimum WIP and ensure the smooth and timely completion of jobs.
6. Team Collaboration and Support: Participate in monthly meetings with your Line Manager, cover other locations during peak periods, and contribute to overall team success.
7. Customer Service Excellence: Answer calls and address customer issues in a polite, professional manner, while resolving any conflicts diplomatically.
8. Business Development: Proactively identify new business opportunities to help grow the company.
Skills, Experience, and Training Requirements:
1. Experience: Previous experience in a coordination or administration role, with a strong focus on customer service and operational efficiency.
2. Skills: Excellent organisational and time-management abilities; strong communication skills, with the ability to liaise effectively with customers and internal staff; proficiency in Microsoft Office and general administrative tools; ability to work under pressure and meet tight deadlines.
3. Training: Ongoing professional development to support career progression, with training on company processes and service coordination tools.
