Taking the lead on administrative and office-based improvements, the post holder will collaborate with fellow administrators to ensure systems are efficient, timely, and fit-for-purpose. Delegating tasks, they will oversee the robust maintenance of Psychiatry, Initial assessment and Social Communication Assessment pathways and manage various administrative aspects such as referrals meeting preparation, outcomes documentation, electronic patient records, triage, correspondence, and reports.
Exceptional organisational skills, initiative, and effective workload management are essential in this role. The post holder must possess well-developed written and verbal communication skills, as they will serve as the primary point of contact for families and other professionals.
Moreover, the post holder will play a crucial role in project support, actively assisting senior management with operational activities. This includes handling activity reporting, data summary requests, and contributing to key meetings by managing room bookings, preparing minutes, agenda, etc. Additionally, they will be responsible for creating and updating administrative procedures as needed to support the evolving needs of the team and projects. This multifaceted role reflects the dynamic nature of the position, where administrative, line management, and project support responsibilities converge to ensure the overall success of the Community CAMHS Team.
Responsibilities
* To provide a friendly and accessible service to patients and therapists using excellent communication skills.
* To maintain efficient and regular filing systems (paper-based and/or electronic, according to need) and deal appropriately with incoming/outgoing correspondence.
* To oversee efficient management of referral processes and record this fully on Rio, from initial acknowledgement through to the referrals meeting and completing outcome administration (accept, refer on, discharge).
* To assist in the booking of Psychiatry and Initial assessment appointments to children and their families, and sending out appointment letters and clinical reports.
* To provide line management and support across multiple teams.
* To support and assist clinicians with various projects including pilot projects, collation of information for research and audit, creating new therapy tools and making of resources.
* To assist with the maintenance of test materials and ordering supplies as needed.
* To contribute to the development of best practice within the service with regards to information governance, quality, confidentiality, safeguarding etc.
