Are you a detail-oriented and organised individual with a passion for administrative tasks?
Ward Security is looking for a proactive Administrator to join their Solutions team hub who will be responsible for completing the day-to-day administration and operational tasks for the service provided by the Solutions Department.
This is a varied, fast-paced and reactive administration role where no two days are the same.
Effective communication to clients and colleagues is a fundamental aspect to the success of this department. The Operational Assistant support of the Team Leader enables the portfolio to function smoothly on a day-to-day basis within both the company procedure and client specification.
Job Title: know internally as Solutions Hub Team Member
Location: Ward Security, Chatham, Kent, ME4 4TZ
Salary: £27,000 per annum
Key Responsibilities:
1. Complete weekly and monthly invoicing runs and send out invoices
2. Ensure that invoices are raised correctly and that any information required is accurately invoiced on the contract by the deadline set
3. Address invoice/finance queries within timescales and escalate where necessary
4. Raise and upload PO’s and invoices on client portals
5. Assist within the Hub where required to carry out any tasks ensuring that the hub runs effectively and efficiently daily
6. Comply with procedures, arrangements and instructions
7. Promote and maintain high standards of housekeeping
8. Handle any complaints/issues effectively and efficiently
9. Update all databases and maintain Servicetrac accurately with all new and existing information
10. Any other reasonable request pertinent to the Solutions/Mobile Services Business
11. Adhere to Ward Intelligent Security Solutions Compliance Procedures and Company Operating Procedures
Knowledge, Skills and Experience required
1. Competent use and knowledge of Microsoft Office Package
2. Excellent customer service and communication skills
3. Ability to establish and maintain effective working relationships with employees and clients
4. High standard of IT skills
5. Knowledge of Finance
6. Organisational and time management skills
