Are you ready for an exciting opportunity? We are seeking a Personal Assistant to the Chief People Officer (CPO). As the Personal Assistant to the Chief People Officer (CPO), you will be the backbone of the CPO’s office, providing proactive and seamless secretarial and administrative support. Your mission is to ensure the smooth and efficient operation of the CPO’s office by expertly managing schedules, coordinating meetings, and handling confidential information with the highest level of discretion and professionalism. You will be a key player in facilitating the CPO’s strategic initiatives and supporting the HR leadership team.
What you will do:
* Provide secretarial and administrative support for the CPO, maintaining confidentiality and diplomacy.
* Manage the CPO’s diary, understanding priorities and stakeholder expectations.
* Arrange meetings, including diary invitations, room bookings, catering, and travel arrangements.
* Organise calendar milestones and deadlines for key activities and identify periods of overload.
* Coordinate all travel for the CPO, ensuring smooth experiences.
* Liaise with internal stakeholders to plan and organise meetings.
* Screen and answer emails, particularly meeting requests.
* Prepare travel expense reports for timely reimbursement.
* Support the coordination of European Works Council meetings.
* Prepare agendas, itineraries, meeting materials, presentations, and reports.
* Provide administrative support to HR Leadership Team members for projects.
* Prepare Purchase Orders for CPO spend on confidential projects.
* Perform additional tasks as requested by the CPO.
What we ask for:
* Experience managing a complex diary across international time zones with changing priorities.
* Proficiency in Outlook, Word, Excel, PowerPoint, and Microsoft Teams; experience with travel management and expense claim systems is beneficial.
* Experience handling confidential information with discretion.
* Effective written and oral communication skills.
* Attention to detail and high accuracy in work.
* Ability to communicate with all levels in the organisation, including senior management, with tact and diplomacy.
* Ability to plan and organise activities.
* Proactive and logical problem-solving approach.
* Ability to work under pressure with changing priorities.
* Fluent in English, both verbal and written; other European languages are beneficial.
