Job Title: Office Manager Location: Cheltenham Salary: £30,000 - £38,000 per annum Job Type: Full-time (Mainly office-based with option for occasional WFH) About the Role: Reed is seeking a proactive and organised Office Manager to join our client’s dynamic team. This role is crucial in ensuring the smooth operation of the office and maintaining a safe, welcoming environment for staff and clients. Key Responsibilities: Operational support: support senior leadership to identify and implement techniques and process to maximise resources and ensure continuous improvement Project support: monitor progress, allocation of resources and budgets while ensuring projects are delivered on time and to the highest standards Administrative Compliance: Handle administrative tasks related to office compliance, including managing insurance, energy, fire safety, and council tax. Office Supplies Management: Purchase and manage office stock, including consumables such as tea and coffee, ensuring the office is always well-stocked. Client and Visitor Coordination: Welcome clients and visitors, support the coordination of office visits, administer the hot desk policy, manage parking spaces, and organise refreshments for meetings and workshops. Recruitment and HR Administration: support the coordination, screening and post vetting process for recruitment and onboarding Security Clearances: Run security clearances for staff and visitors to ensure a secure working environment. SharePoint Management: Manage SharePoint filing systems to ensure documents are organised and easily accessible. Social Media: Post content on social media platforms (content will be provided). Office Operations: Manage the opening and closing of the office, ensuring all security protocols are followed. Health and Safety: Implement and monitor health and safety policies to maintain a safe working environment. Coordination with Contractors: Coordinate with cleaners and contractors to maintain high office standards and ensure all facilities are in good working order. Qualifications: Proven experience in a similar role. Strong organisational and multitasking skills. Excellent communication and interpersonal abilities. Proficiency in using office software and managing SharePoint. Knowledge of health and safety regulations, beneficial not essential.
