Job Offer: Lettings and Facilities Manager
Position Type: Permanent, In-Office
Location: Portland House, Wembley, Middlesex, HA9 8BU
Schedule: Monday to Friday, 8:30 AM – 5:30 PM, with occasional WhatsApp or SMS responses on weekends (lettings only).
Salary: £44,000 - £50,000 (depending on experience)
Overview:
Our Property Management department is seeking an experienced professional in lettings, facilities and property management to join our team. This role provides a fantastic growth opportunity for someone with a deep understanding of complex lettings and facilities. As a Lettings and Facilities Manager, you will oversee smooth operations, ensure client satisfaction, and maintain compliance with industry regulations. This position involves managing relationships with landlords and tenants, coordinating inspections, handling tenancy renewals, and ensuring timely maintenance and repairs across our portfolio and our head office. Responsibilities:
* Oversee the maintenance and facilities of our office, including plumbing, electrical, air conditioning, entrance/access and fire safety.
* Manage a portfolio of 37 residential properties, including a block of 24 flats. 4 additional properties are on the market and will require void management until sold.
* Administrate Section 8, Section 21 and other property relevant notices when required.
* Build and maintain strong relationships with tenants.
* Conduct property inspections and address maintenance needs.
* Arrange tenancy renewals, manage deposit returns, and handle rental arrears.
* Provide guidance on company procedures and ensure safety and protection for staff and clients.
* Inspect properties to ensure compliance with legal standards (Energy Performance Certificates, Gas Safety, EICR).
* Coordinate listings, including property registration, photography, floor plans, and advertising.
* Oversee check-in and check-out processes, including inventory management.
* Handle tenant and landlord queries, disputes, and complaints, ensuring effective resolution and clear communication.
* Keep all parties informed on the status of issues, managing expectations and following up on inquiries.
* Maintain effective office systems and stay organised, with excellent communication skills both verbally and in writing.
* Answer WhatsApp and SMS on weekends (lettings emergencies only).
Additional Skills / Requirements:
* Experience: Minimum 2 years of property management experience in residential lettings.
* Knowledge: Strong understanding of the local property market.
* License: Full, clean driving license required as you will have access to the office Pool Car.
* Self-motivated, proactive, and goal-oriented, with the ability to negotiate contract terms for the company.
* Capable of remaining calm under pressure and pacifying in challenging situations.
