Main duties of the job Therapy Services have an exciting opportunity for an experienced administrator who has excellent IT skills to join our friendly team of administrators at Southampton General Hospital. You will be delivering admin support to our Therapy Managers on a day-to-day basis. This will include the use of Microsoft office applications in specific the use of Excel spreadsheets and the use of in-house systems. The integrated Therapy Services Department is a lively, friendly, and dynamic department which has over 290 whole time equivalent staff. Our admin team work Monday to Friday between the hours of 7.30am – 5.30pm. This post is for 18.75 hours per week. Detailed Job Description And Main Responsibilities The post holder will provide administrative/secretarial support to the Therapy Management team. This will include but not limited to: To organise and prioritise diary appointments, re-arranging when necessary for Therapy Managers. To support Therapy Managers with creating / updating and managing spreadsheets for our service. To word-process (audio/copy typing) letters and documents some of which might be of a confidential and sensitive nature. To ensure department e-mail list are kept up to date, ensuring new starters /leavers are added. To organise /assist in the planning of department meetings and events. What We’re Looking For The successful applicant will need to be a key player in the administration team and will be/have: Proven administration experience in a similar role. Proficient in using Microsoft office in the work environment. Able to create/ update spreadsheets using Microsoft Excel confidently. Able to work well independently and as part of a team. Excellent communication skills both written and verbally. Able to priorities and manage a large conflicting workload whilst adapting to changes in the work processes and systems. Proactive and able to work on own initiative. Good organisation skills Ideally the successful candidate will have previous NHS experience and experience of minute taking, however these are not essential.
