RINA is currently recruiting for a UK Business Support Administrator to join its office in Pontyclunwithin the Consulting Planning, Monitoring & Business Support Division.
Job Purpose
The RINA Business Support Administrator acts as a focal point for the provision of administrative support to all UK Business Areas. The Support Administrator will work together with the UK Business Support team for the UK, supporting the operational business units, commercial teams and liaising with relevant corporate functions such as procurement, QHSE and finance.
The role will be based in our Pontyclun office, South Wales
Key Accountabilities
General Administrative Support
1. Provision of general administrative support to the UK Operations and Management Team as required.
2. Booking external training courses for employees and ensuring all records are kept up to date.
3. Providing support to the local office including answering phones, managing deliveries and general facilities support
4. Assisting with scheduling equipment maintenance
5. Provide administrative bid support, collating supporting documentation, completing pre-qualification questionnaires.
6. Support with accurate data entry into systems including customer data, quotations and orders.
7. Provide support for any events, meetings or gatherings as required.
8. Supporting teams with any general ad hoc queries
Procurement support
9. Obtain relevant quotes for purchases and liaise with suppliers to ensure mandatory information has been provided to be qualified.
10. Submit purchase requests and monitor approvals on Procurement system.
11. Check and receipt supplier invoices are correct, and all services / goods have been received.
12. Miscellaneous purchasing for offices
13. Booking any travel requirements for the business via company approved suppliers, for example: car hire, flights, hotels, rail travel. Ensuring travel logs are up to date.
Qualifications
14. 5 GCSE’s with grade C (or equivalent) and above including Maths and English /Experience in a strong administrative / office support role
15. Experience working in an engineering consultancy or similar business.
16. Microsoft Word, Outlook, Excel, and PowerPoint experience
