The difference you will make as a Factoring Co-ordinator The Factoring Co-ordinator is accountable to the Housing Manager and is responsible for working through a detailed action plan to improve the service to factored owners as well as the operational management of factoring services to over 1000 owners, including achieving operational objectives and excellence in customer services and performance. About you To be successful in this role, we are looking for someone who has experience of Factoring Legislation and Best Practice including experience with a Registered Social Landlord or property factor. Achieve high levels of customer satisfaction and performance figures, identifying areas for continuous improvement Participate in the delivery of customer engagement and consultation on any new services, changes to services, management fees and other costs. Main point of contact for completing and resolving all factoring enquiries/tasks such as: Liaising with billing team regarding Factoring Charges Supporting the income collection team with factoring debt recovery including any court action as per our procedures Liaising with owners as necessary in respect of insurance, change of ownership etc. Recharging Reactive, Major Repairs and cyclical maintenance works to Common Property Factored owners Insurance claims and policy matters. Property Management, review of Title Deeds & Property Factor Registration Maintaining accurate records ensuring the system is always up to date Review and management of Written Statement of Services Managing and resolving any customer complaints Preparing regular communication for owners on our services and associated charges Preparing written reports as necessary Liaise with legal advisors as required Liaise with the Association’s Asset Management Team/contractors regarding the instruction and progression of common property repairs and investment work Work within budget and prepare financial forecasts Review policy and procedures in line with legislation and good practice. Benchmark our performance and service delivery and drive a culture of continuous improvement. Ensure all information, reports and statistics are recorded, processed or produced in line with GDPR Promote good quality relations with owners, the local community, external agencies and other bodies. Attend such training courses, seminars, conferences and other learning and development events as the Association may require. Any other activity necessary for the fulfilment of the Association’s aims and objectives and within the job purpose of the role. Person specification Knowledge, Skills and Experience Essential Excellent knowledge of Factoring Legislation and Best Practice Experience with a Registered Social Landlord or property factor Excellent customer service skills, friendly approachable and responsive. Ability to plan and prioritise effectively, in order to achieve demanding targets and deadlines. Good interpersonal skills and ability to convey information clearly and concisely to internal and a range of external customers. Excellent IT skills - Good working knowledge of Microsoft packages Highly numerate, ability to interpret and analyse property and financial data. Good judgement and the ability to interpret legal documents such as property titles and Deeds of condition Creative, innovative and collaborative Good experience of delivering Factoring Services Experience of reviewing processes and systems, identifying where weakness may exist and implementing improved controls and processes. Full UK Driver’s License and access to a car Desirable Professional Diploma in Property Factoring or CIH Level 4 Diploma Experience of writing and presenting reports to a Board of Management or other governing body. Experience in formulating and implementing policies and procedures. Experience of contracts and budget management
