Job summary
The post is pivotal in ensuring patients are seen in the right place and at the right time, and the hubs, where services are provided, are running effectively and efficiently. The position will be based in the main hub, but will provide support across the whole service footprint.
Main duties of the job
To provide a comprehensive, confidential, administrative and support service to the SoliHealth team, answering calls, tasks and discharge summaries. Be responsible for dealing with all incoming referrals to the service and arranging appointments and follow-up appointments.
1. Be responsible for the organisation of the workload of the SoliHealth LTD, arranging and coordinating diaries, including clinics for the teams across Solihull.
2. Providing comprehensive administrative support.
3. Regular direct and indirect contact with patients, carers and relatives
4. Liaising with external agencies and service, such as hospitals, GP surgeries and medical secretaries, Health Visitors, District Nurses and Pharmacies.
5. Answering telephone calls on behalf of the team and dealing with patient enquiries in a polite and efficient manner, and resolving them where appropriate.
6. Making own administrative decisions as appropriate.
7. Overall responsibility for receiving and dealing with tasks are dealt with quickly.
8. Coping with the increase of incoming referrals from GP surgeries due to more hubs being developed.
9. Registering new patients onto the TPP SystmOne, ensuring that all referrals, results and clinical correspondence are scanned against the patient in a timely manner.
10. Overall responsibility for arranging timely appointments and follow-up appointments with the appropriate health professional as detailed on the referral form and directed by the specialist team.
11. Dealing with patient prescription issues and queries.

22. Prioritising own workload on a day-to-day basis, assessing and judging the work on a priority basis, whilst liaising with the Doctor and Nurse Specialist, adjusting workload according to changes in appointments, clinics or meetings as required.

24. To provide and receive complex information on a daily basis. To exercise initiative and judgement based on acquired knowledge and experience when dealing with enquiries of a clinical and non-clinical nature
Governance/compliance:
25. Support any work required for compliance with CQC & other statutory registration requirements
Operational/general
26. Responsible for ordering, installation, use, repair and maintenance of clinical and office equipment, and maintaining stock control at each of the hubs.
27. Thepost holder will need to be able to travel to the hubs across Solihull as andwhen required.
