Job Purpose Responsible for the planning, coordination and administrative implementation of a wide range of activities in support of the Tax & Treasury Teams. This includes providing clear advice and guidance to colleagues across the University to support delivery of the service excellence agenda. Main Duties and Responsibilities Treasury / Banking a) Preparation of complex and high volume bank reconciliations and management reporting Use specialist reconciliation knowledge and experience to complete daily, weekly and/or monthly reconciliation of the University’s bank accounts and payment service provider accounts. Analyse and investigate issues arising and liaise with relevant departments, using initiative to resolve reconciling items within agreed time frames. Contribute to the development and implementation of continual process improvement. b) Treasury movements Responsible for setting up critical treasury movement payments with operating bank, overseen by Treasury Manager. Posting treasury movement transactions within Agresso. Calculating and posting interest accruals each month. c) Daily cash/Cash flow Preparation of the daily and weekly cash sheets, including analysis for variances from prior day, for review by the Treasury manager and circulation to senior management. Recording and reporting of income for Scottish Funding Council/Office for National Statistics purposes, provide analysis and commentary for review. d) Exchange rates Updating daily FX rates in the financial ledger, and cross checking those entered by a team member. e) Income and Payments Responsible for processing manual payments, direct debits and standing orders in an accurate and timely manner and investigate and resolve any errors or unexpected payments. Developing and documenting specialist payments knowledge for foreign payments to be shared with Accounts Payable. Process BACS runs for all payments to suppliers on a weekly basis. Process cheques (minimal payments made by cheques). Distribution of GIRO books to cash collecting departments. Facilitate physical cash distributions and collections to/from cash holders and the bank, in accordance with the requisite cash handling controls and protocols. f) Queries Management of the treasury team mailbox. Provide professional and timely resolution to queries, filtering issues and accurately completing journals and adjustments as required by departments, the Treasury Manager or other Finance Office Staff. g) Bank liaison Key point of contact for problems relating to banking – eg. rejected BACS or foreign payments, KYC requests from the banks, transaction review requests from the banks. Ordering of cash and change collections. h) Bond interest payments Calculating and processing biannual bond interest payments to bond holders. Requesting data from bond holders, preparing supporting documentation and setting up payments within the financial system. i) Other Apply experience and knowledge to contribute to service improvement by supporting the documentation, updating and improvement of existing cash and treasury policies and procedures on an ongoing basis. Drafting new Standard Operating Procedures for use by the team. Provision of information such as bank reconciliations to the external and internal auditors, as required. To undertake any other duties required by the Treasury and Commercial Manager and Treasury Supervisor or other line management. Tax (Imports / Exports) a) Coordination and control of import and export procedures Preparing and sending timely customs clearance instructions to shipping agents with correct Customs Procedure Codes to ensure VAT relief is obtained wherever possible. Liaising with the academic departments for required data and information for Customs clearances. b) Acting as the main point of contact for internal import/export service users and import agents Deal with all enquiries and queries, including complex processes and enquiries, to efficiently & effectively devise solutions based on experience and judgement and ensure a quality service. Manage the University’s Import mailbox filtering and resolving issues applying experience & judgement, highlighting potential risks & issues to the Tax Analyst. Providing advice and specialist knowledge to the University community in relation to exports / imports. c) Responsible for managing and maintaining delegated accounting records Processing entries in the Import Log with all required information. Ensuring accurate data input in the import log and maintaining accurate and full records for auditing purposes. Reconciling the Import Log with the deferment statements from HMRC on a weekly basis. Working closely with other teams within and out with Finance Office to ensure refunds received from HMRC/shipping agents are reallocated to appropriate sub-projects. Preparing and completing the monthly deferment VAT and duty reallocation spreadsheet and uploading the journal to Agresso. Knowledge, Qualifications, Skills and Experience Knowledge/Qualifications Essential: Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role or equivalent, and experience of personal development in a similar role. Excellent knowledge of Microsoft applications, especially Excel. Sound knowledge of completing reconciliations developed through professional qualifications or prior work experience. Knowledge of other finance procedures. Desirable: Working knowledge of Agresso accounting system. Skills Essential: Excellent numeracy and Excel skills. High level of attention to detail and accuracy. Strong ability to independently prioritise workload and respond quickly and effectively to stakeholders in a busy high volume environment. Good standard of written English, with ability to draft correspondence, notes of meetings and reports and engage professionally with client group. Excellent verbal communication and interpersonal skills. Ability to work effectively and supportively within a small team. Ability to analyse data and appropriately present summary information. High level of initiative and decision making ability/judgement. Experience Essential: Experience of working in a busy and high volume finance transactional environment. Experience of dealing effectively with a range of stakeholders, using initiative to proactively resolve problems arising. Experience of completing complex reconciliations and responsibility for independently resolving issues. Experience of working to tight deadlines. Desirable: Experience of using Agresso accounting software. Experience of working in a Treasury department. Experience of dealing with HMRC in a prior tax role. Terms and Conditions Salary will be Grade 5, £26,038 - £30,505 per annum. This post is full time (35 hours p/w) and open ended.
