This role supports the renewables division of this thriving Engineering business, supporting the operations teams home and away, and ensuring that associated administration is completed accurately and on time. Prioritisation will be crucial, to ensure that operations run effectively and efficiently. This role also supports the running of the General Office as and when required. This role includes, but is not limited to: Sourcing flights, accommodation and car hire within a set budget and criteria, dependant on project. Making passport and visa applications, always being mindful of associated lead times. Assisting with completion of compliance documentation and paperwork for entry to site. Compile project costings and present in a structured format. Minute taking for regular project meetings and issuing minutes and actions to members of the team in a timely manner. Responsible for completing time sheets for weekly payroll liaise with Installation Leads daily to get information on teams hours worked, site down-time, any holidays etc. General administration and diary management Answering calls and directing to required department Meet and greet visitors on arrival, ensuring meeting facilities are tidy and refreshments are organised as required Supporting wider admin team to cover for holidays or absences Assist Office Manager and wider Management Team with any tasks or queries they have. The skills/knowledge that would be required to fulfil this role: Previous experience in a similar role is essential, or alternatively if you have worked within a fast-paced and agile environment Proven experience of being able to manage multiple tasks simultaneously The ability to manage time (yours and for others) is a key part of this role so youll need to have had experience of diary management or organisation. We utilise the suite of MS packages so you will need at least a basic competency in the key ones (Word, Outlook, Excel, Teams) If you have worked with Xero previously, this will be beneficial, but full training will be provided on this software. Procurement experience, including sourcing prices, materials and liaising with suppliers may also be advantageous but not essential The key attributes that will help you be effective in this role: Exceptional organisational skills Time management is essential as its critical that all tasks are managed within deadlines, efficiency is important in this role.
