We have an exciting opportunity for a forward thinking administrator to join our dynamic team within the Women and Children's department.
The successful candidate will be an experienced administrator who willmanage Departmental administrative systems and staff. They will be an innovative individual who will support service develop in line with required internal and external standards. They will make informed decisions within area of responsibility, ensuring that agreed standards and targets are met in accordance with Departmental, Trust and National standards, policies and procedures. They will be a personable individual who will act as a source of advice and guidance regarding the specialty.

Main duties of the job
1. To assume overall responsibility for the administrative management of the Department, including:
1. Acting as a resource for staff, advising on National, Trust and Departmental Administration policies and procedures which look at quality and efficiency to meet the needs of the patients and the service
2. Supporting Divisional Management in compiling specialty Local Delivery Plans (LDPs)
3. Participating in strategic, service provider and Trust/Divisional/Departmental meetings, assuming responsibility for administrative issues and the impact on resources
4. Responsibility for Departmental performance including the setting of objectives and standards
5. Representing the Department in appropriate forums
6. Continuous review of administration policies and procedures within own area, implementing and developing new processes and guidance in order to secure the efficient and effective operation of the Specialty
7. Undertaking audits of administrative procedures/protocols where required
8. Responsibility for health, safety and security within the Department
9. Plan and monitor activity levels to ensure optimum use of resources
10. Management and rectification of the Data Quality/Waiting List reports for areas of responsibility, this is to include Inpatient and Outpatient Waiting lists for elective, Planned and Diagnostic procedures

Job responsibilities
1. To assume overall responsibility for the management of the administrative staff within the Department, including:
Acting as the specialty lead for managing recruitment, retention and selection of administrative staff including preparation of the appropriate documentationAssuming first line management responsibility in dealing with disciplinary, capability and grievance issuesResponsibility for the education and development of the administrative staff including undertaking Personal Development Reviews in conjunction with KSF outlines, formulating Personal Development Plans and identifying training needs using analytical skills to ensure they appropriate to the needs of the service.
2. To ensure an effective internal and external communication system within the specialty, including:
11. Provision of an effective communication system both within the specialty team and to internal and external agencies.
12. Providing and improving services in line with Trust objectives and nationally agreed initiatives
13. Motivating and persuading staff regarding changes to procedures and current practice
14. Monitoring and assisting with the investigation of complaints in line with Trust guidelines, policies and procedures, instigating any immediate action required for reasons of health, safety and security. Dealing with constant interruptions and occasional verbal aggression from service users in a professional manner
3. To manage the Departmental administrative budget.
4. To continually contribute to patient and business improvement Agendas.
