Kennedys, a growing global law firm, is seeking a full-time Executive Assistant to join our New Jersey offic e. Key responsibilities Provide high-level administrative support to a key litigation and senior management partner working as part of a team Assist attorneys with all aspects of litigation including discovery, court filings, calendaring and trial preparation Coordinate complex international travel arrangements, for business and personal needs, including visa processing, accommodation, and itinerary management Assist in organizing and managing firm events, including conferences, seminars, and client meetings on and off site Handle sensitive information with utmost confidentiality and discretion Act as a liaison between internal departments, clients, and external stakeholders Prepare and edit correspondence, reports, and presentations as needed Manage calendars, appointments, and meeting schedules efficiently Legal administrative support such as conflict checks, new business intake, filing within the Federal, New Jersey and New York court systems Effective use of document management system Perform ad-hoc tasks and projects as assigned by senior management Utilize strong technical skills to streamline administrative processes and enhance efficiency Work with a sense of urgency and prioritize tasks to meet deadlines effectively Proactively identify and solve problems before they escalate Must be comfortable working in a team setting, sharing ideas, and collaborating to achieve collective goals Manage expenses and time entry by maintaining accurate records in accordance with firm policies. Required experience Proven experience (5-7 years) as an executive assistant or similar role within a law firm strongly preferred Demonstrated experience in international travel planning and logistics Proficiency in event planning and coordination Exceptional organizational and time management skills with acute attention to detail Ability to prioritize tasks and work effectively under pressure Strong communication and interpersonal skills; specifically reliable responses and acknowledge of requests Proficient in Microsoft Office Suite and other relevant software Discretion and professionalism in handling confidential information Proactive attitude with the ability to anticipate needs and take initiative Please let us know if you require any additional support or adjustments to be made in order to submit your application to Kennedys. where a level of experience is indicated, this is a guideline only and represents the amount of time we would usually expect a candidate to accumulate the requisite level of experience.
