Your day will be spent front of house reception services for the Estate properties.
Undertake general administrative duties and provide a high standard of customer service to residents, staff, visitors and external contracts.
Reception / Administration Assistant Duties.
To take responsibility (and to arrange cover when necessary) for reception desk, acting as a first point of contact for residents, staff, visitors and external contacts. Provide a welcoming reception, telephone and administration service.
Maintenance of office equipment, ordering stationery, consumables, etc as required, online and over the phone.
Dealing with incoming and outgoing correspondence.
Logging maintenance requests and liaising with maintenance team members and contractors regarding repairs to properties.
Facilitating communication between the residents and management team.
Taking minutes and notes of meetings as requested and disseminating/ sharing these as per policy, processes and instruction.
Process orders and assisting with residents’ enquiries or complaints in a polite and courteous manner.
Supporting with organising and coordinating resident activities.
Liaise with Adult Social Care and other agencies to implement the delivery of requires services for residents.
Providing administrative support, the Estate Manager, Support team and Maintenance team.
Maintaining administrative systems, updating / maintaining the database systems contacts/addresses etc, complying with GDPR regulations.
Liaising with staff across the organisation on various matters.
Organise the relevant safety checks for each void property and liaise with contractors and cleaning company.
Liaising with external contractors, arranging works, ensuring they provide all necessary Health & Safety documents and Public Liability Insurance and maintaining these records.
Hands on assistance taking part in the residents’ activities, planning and completing each activity.
On call for one week in five.
Reception / Administration Assistant Qualifications and experience.
Relevant qualifications in administration or IT.
Recent experience of working in a office environment
Proven ability of working in a team as well as independently.
