Role Overview
The Site Services Manager is a very important part of the corporate management team, responsible for supporting the development and execution of the business strategy. The Site Services Manager is responsible for the day-to-day operation of the Contracts team, sub-contract installation teams, site supervisors (employed and sub-contract), and site health and safety.
Ensuring incoming information from sales and customers is speedily and accurately processed. The Contracts and Installation teams play a pivotal role in the Tanks Business Unit by coordinating the input of several disciplines to achieve customer satisfaction and maximize the profitability of all projects. The role will also involve professionally resolving contractual issues with clients and reviewing/approving of contractual documentation.
1. Effectively manage all members of your team (contracts and sub-contract teams, employed and sub-contract site supervisors) to deliver service levels to our customers that exceed their expectations. Professionally, effectively, and efficiently ensure the company concludes all customer orders in line with commitments made to the customer.
2. Oversee the receipt and review of new order instructions from the sales team. Ensure all specific contract details are registered promptly and accurately. Competent members of the contracts team to form part of the subject matter experts team dealing with new project handovers.
3. Contracts and installation team: review customer orders with as ordered quote; send order acknowledgment to the customer (within 24 hours) and complete contract review (within 72 hours) with the customer.
4. Utilize and manage key company systems: Quest and Great Plains to run all projects.
5. Working effectively with disciplines of the operations team and maintain appropriate level of contact with the customer during the project lifecycle. Ensure delivery and installation is carried out to the agreed schedule with the customer.
6. Monitor the workload and output of all contracts team members, sub-contract tank installation teams, and communicate available resource information on a regular basis to the sales team. Ensure all installation work is carried out safely and competently by approved installers in line with our Authorised Installer Registration Scheme (AIRS).
7. Take corrective action: Deal with any post-sale customer queries or complaints. Take corrective action and report via NCR/Customer complaints procedure.
8. Weekly and monthly reports to be aligned with agreed KPIs on all aspects of the contracts and installation team’s performance. KPIs to be aligned with the five business priorities, and team members' “My Contribution” objectives.
9. Review all work in progress at month end in conjunction with the finance team. Provide monthly margin variation analysis by contract on all closed jobs during the period.
10. Review sub-contract documentation and where required, provide guidance and support to the sales directors and their teams during contractual negotiations.
11. Support the sales directors and their teams with contractual issues.
12. Contribute to the ethos of continuous improvement within the contracts and installation department and the business overall.
