Job overview
The Midlands Clinical Senates are looking to appoint to a varied and interesting role within its support team.
Clinical Senates are a source of independent advice and guidance to healthcare trusts, Integrated Care Systems (ICSs) and their Boards (ICBs), and other stakeholders, to assist them to make the best decisions about healthcare for the populations they represent. We support five ICSs in the East Midlands and six ICSs in the West Midlands.
We are looking to recruit an individual who takes the initiative; with strong organisational and co-ordination skills combined with excellent interpersonal skills and a professional pride that is evident in your approach. Working as part of a small team you will have responsibility for proactively overseeing and supporting the administration function (including line management responsibilities) ensuring a coherent and consistent approach across the function, coordinating Senate(s) events, developing communication and promotional materials, overseeing aspects of the team’s finances, supporting recruitment processes and producing high quality internal and external reports.
The post will be full time. Some travel throughout the East and West Midlands will be required to attend meetings, events and provide cover.
Main duties of the job
* Support the team to ensure that the portfolio of tasks/projects is planned, managed and delivered effectively.
* Support and inform the targeting of resources, monitoring, implementation and evaluation of the tasks/projects by providing high quality support including complex information and analysis, communications and stakeholder management.
* Ensure accurate and open communication and co-ordination with a range of organisations and individuals, researching and drafting correspondence and papers.
* Oversee the team’s business support function on a day-to-day basis, including line management of the Senate Administrator.
* Minute taking to support the administrative function and capturing decisions and outcomes of meetings.
* Act as the information assets officer and maintain all of the team’s IT systems and processes in line with governance processes.
* Prepare informative internal and external reports as and when required, such as newsletters, communication reports, Senate promotional material and maintain the website.
* Professionally dealing with all Senate members, stakeholders, and internal colleagues, both in person and in writing.
* To be able to occasionally work in the evenings (as a minimum one evening every two months) in order to support the Senate Council meetings.
* Oversight of all aspects of the team’s budget’s process, escalating any issues of concern to the Senior Programme Managers.
* Coordinate and support Senate events and development days.

* Experience of monitoring budgets and business processes.
* Experience of line management.
* Website management and databases.
Skills, Capabilities, and Attributes
* Clear communicator with excellent writing, report writing and presentation skills; capable of constructing and delivering clear ideas and concepts concisely and accurately for diverse audiences.
* Able to work on own initiative, organising and prioritising own and others workloads to changing and often tight deadlines.
Qualifications
* Educated to degree level in relevant subject or equivalent level of experience of working at a similar level in specialist area.
* Further training or significant experience in project management, financial management or supporting change management processes.
