The department
The Client Matter Inception Team is responsible for the on-boarding of new and returning clients across the Firm. The centralised team ensures regulatory obligations are met, with a particular focus on anti-money laundering regulations, for all new client instructions.
About the role
The Client Matter Inception Administrator will play a key role in welcoming new clients to the Firm. They are responsible for the administrative set-up for new clients, including opening the new matter on the Firm’s case management system and sending relevant initial correspondence to the client. While most correspondence with clients will be via email, the Client Matter Inception Administrator will require an excellent telephone manner when speaking with clients on the telephone.
The Client Matter Inception Team works closely with Solicitors and fee earners to ensure new matters are opened efficiently and accurately.
The Client Matter Inception Administrator will be responsible for completing the initial stages of a new client matter in line with the Firm’s policies and procedures. The role involves:
* Conducting anti-money laundering checks to verify the identities of clients through e-verification checks and obtaining identity documents from clients.
* Checking identity documents in line with the Firm’s policy and escalating queries where necessary.
* Conducting internal conflict of interest checks and ensuring results are accurately recorded, escalating any potential conflict issues in line with Firm procedure.
* Generating new client Firm welcome correspondence in accordance with the Firm’s strict precedent documentation.
The role requires:
* Excellent communication skills and a professional and courteous telephone manner.
* Strong teamwork – the Client Matter Inception Administrator will be required to work collaboratively with Solicitors/fee earners as well as other members of the Client Matter Inception Team.
* The ability to work efficiently and effectively under pressure.
* A natural sense of urgency.
