The Role
Being a brilliant EA at FlyForm isn’t just about the day-to-day, we’re looking for someone who thrives on shaping the bigger business picture. You'll be the planner, ensuring the CEO's focus hits all the right spots while seamlessly integrating into our Senior Leadership Team for monumental impact.
You'll juggle a dynamic CEO's schedule in an ever-evolving business landscape. Yep, it's challenging – hourly changes, last-minute shake-ups, and even stepping into high-stake meetings on the fly. But the rewards are massive.
This isn't your ordinary EA gig; you'll be the tactical force behind our CEO's vision and the anchor behind our integrator, the Chief of Staff.
The Goal
* Allow the CEO to focus on the company’s strategic priorities by handling various day-to-day communications.
* Set and achieve deadlines and goals with the CEO and Chief of Staff.
* Gather a general perspective of the industry as a whole: how it works and where the company fits into it.
* Drive a more efficient CEO office via task management, prompt communications, and diary management.
* CEO alignment; Work in tandem with the Chief of Staff to ensure the objectives for the week and month are aligned.
Your Responsibilities
* Planning the CEO's key priorities for the day/week/month.
* Manage the CEO’s diary in line with professional & personal commitments.
* Organising and scheduling meetings.
* Maintain office correspondence, including crafting, filing and monitoring routine electronic correspondence (email, Slack etc.), and monitoring and maintaining social media presence.
* Providing general administrative support to all Senior Leaders.
* Prepare meeting agendas, perform research for meetings in a timely fashion and take minutes during meetings.
* Assisting with preparation and drafting presentations, reports and documents.
* Book business travel arrangements, including flights, transportation, and lodgings.
* Liaise with clients and business guests alongside planning of onsite meetings.
* Assist with organising appearances and events.
* Monitor high-level projects and communicate timelines and reviews.
* Gain a full understanding of the business and the CEO so that you can effectively assist in organising and time-boxing the CEO’s time to ensure maximum impact from their work.
* Taking on non-business tasks to enable the CEO’s availability and focus.
* Assist with personal tasks, e.g. arranging personal appointments, assisting with gift purchases, organising home tasks etc. (all on a very limited basis).

* Strong ability to look at the bigger picture to effectively prioritise and communicate workload.
* Out and out team player; no task is too small or too big.
* Strong organisational and diary management skills.
* Ability to make things happen, and high levels of flexibility and adaptability.
* Flawless communication and presentation skills, both written and verbal.
* Strong ‘can do’ attitude with the ability to think outside of the box.
* Strong emotional intelligence skills, including self-awareness, ability to read and carefully observe other people as well as having the ability to negotiate and persuade.
* The ability to multitask and prioritise an ever-changing workload.
* The ability to work under pressure and reach deadlines.
* Excellent problem-solving skills.
* The ability to work autonomously.
* The ability to determine which emails, reports, telephone calls etc. need to reach the CEO and which do not.
* The ability to build relationships at all levels across the business and with external contacts.
* Experience using the full Microsoft Office suite.
