We are inviting applications for a part-time Events Assistant to join Garden Court Chambers.
This role is for 15 hours per week, over three afternoons (ideally Tuesdays, Wednesdays and Thursdays) from 2-7pm. We are happy to consider applications from applicants who can do at least two of the three afternoons and an additional time during the week.

Our Marketing Team currently consists of a Head of Communications & Marketing (HCM), a Marketing & Communications Manager (MCM), and an Events & Communications Officer (ECO). We are growing the team and are looking for a part-time Events Assistant (Tuesday – Thursday 2pm – 7pm). Due to the nature of the role, the postholder will be expected to work in the evenings on some event days, for which Time Off In Lieu will be provided.

Key Responsibilities
1. Working with HCM to manage and publicise events.
2. Maintaining the events list spreadsheet, ensuring all information is up to date.
3. Ensuring all events appear in the relevant barristers’ diaries and staff outlook diaries.
4. Sending out event forms for barristers to complete. Sending reminders and ensuring reminders appear in barristers’ diaries.
5. Updating invitation lists for specific practice areas and sub areas pre and post events.
6. Updating CRM (Client Relationship Management) systems in line with practice area invite lists and good CRM practice.
7. Delivering events and training in chambers, including:
1. Assisting with creating the online event page for events/webinars.
2. Assisting with drafting email invites for events/webinars.
3. Assisting with drafting social media posts promoting events/webinars.
4. Ordering and managing refreshments, ensuring chambers is well stocked.
5. Ordering food for specific events.
6. Setting up food, refreshments, glasses, cutlery, etc.
7. Setting up the room and signage.
8. Printing off the attendee list & other printing tasks if required.
9. Welcoming panellists and showing them how the tech works.
10. Signing in attendees.
11. Live-tweeting the event if required.
12. Ensuring the bar is stocked during the networking drinks & assisting attendees/panellists as appropriate.
13. Clearing away glasses and food at the end of the event.
14. Assisting with drafting social media posts promoting the success of an event.
15. Follow up, including assisting MCM & ECO with editing event recordings & event emails.
16. Assisting with drafting social media posts promoting event recordings.
8. Assisting the MCM with online trainings and webinars with some of the relevant tasks listed above.
9. Collecting and recording feedback from attendees following events. Sending feedback to panellists and clerking teams.
10. Assisting ECO in creating attendee lists to send to clerking teams.
Person Specification (skills, experience and competencies required in this post)
ESSENTIAL:
1. 3 or more A Levels (or equivalent educational attainment).
2. Experience of working in a client-facing role, with a keen eye for ensuring the client experience is enhanced through personal touches.
3. Demonstrable support of our values of respect for human rights and commitment to social justice.
4. Experience of organising and arranging in-person events, maximising client experience.
5. Excellent standard of oral and written English, with the ability to proofread to exacting standards.
6. Resourceful with the ability to work independently.
7. Capable of multi-tasking and meeting tight deadlines.
8. Willingness to work flexibly, ensuring that events are covered (this includes occasional evenings, for which time off in lieu is given).
9. Experience of working or volunteering for a charity, NGO, or public policy organisation aligned to our values and areas of law.
10. Demonstrable experience of arranging online events.
11. Video editing skills.
12. Experience working with CRM/sales systems.

* The salary is £10,803 pa (£27,008 full time equivalent).
* Hours: 14.00-19.00 Tuesday, Wednesday, Thursday (there is flexibility to the hours).
