Job Overview
Working as part of an IT team, you will provide global IT support across our two offices (London, NYC) and our remote worker network. The main objective of this role is to ensure the smooth running of day-to-day IT operations, supporting the business and its employees to work efficiently and effectively while keeping business data and equipment secure.
Responsibilities
Team Onboarding, Offboarding, and IT Training:
* Working with the People teams to ensure a smooth onboarding and offboarding process - allocating kit and ensuring all required logins are set up.
* Providing an IT induction to all new joiners.
* Manage the offboarding of equipment and closure of access from all platforms and tools.
* Provide Agency Training on new tools, updates, and policies.
Software Management:
* Global management of other systems, platforms, and tools e.g. Project Management tools, Salesforce, Slack, web hosting, Cloudflare, etc., including a number of seats and costs.
* Google Workspace support and management and configuration.
* Advise and support on AI integration and safety management.
Hardware Management:
* Ordering new and refurbished kit.
* Oversight of hardware sell-off.
* Manage the Asset management documents along with details of warranties.
Security Management:
* Login/device management best practices (single sign-on, GDPR, and policies).
* Regularly review our IT policy to ensure it is kept up-to-date and relevant - in the UK and US.
* Conducting system audits.
* Identify vulnerabilities, recommend tools, and implement these to prevent future issues.
* Maintenance of security controls, including firewalls and email compliance (i.e. on DMARC).
Helpdesk:
* Helpdesk for all staff.
* Ensuring all video conferencing kits are set up and functional in our meeting rooms and events.
* Provide IT support throughout events.
* Apple Device Set up and tech management.
* Setting up all staff and department meetings - locally and globally.
Ad Hoc:
Websites:
* Maintenance.
* Content updates.
* Site maintenance.
* URL, security, and caching.
* Content updates + building of new content.
* Troubleshooting.
Strategic:
* Identify problematic areas and implement strategic and practical solutions.
* Work with the Legal and BA team to identify improvements in tools/workflows to ensure our compliance with clients/governments/regulatory bodies.
Skills & Attributes
* At least 5 years of solid IT experience, with some in a stand-alone role and agency experience. You’ll need to demonstrate your ability to work independently and proactively.
* Demonstrate an active interest in social media.
* Ability to manage a cross-section of different stakeholders - Founders, department heads, etc.
* Experience of cloud-based vs physical servers.
* Experience with cyber security/anti-virus/backup.
* Experience in creating strategies, policies, and procedures.
* Experience in supporting all hardware and software within a business (not outsourcing).
* In-depth knowledge of Google Suite management.
* In-depth knowledge of Apple devices and setup and troubleshooting.
* Excellent communication and organisational skills.
* Proactive approach and problem solver.
* Solid knowledge of networking protocols, firewalls, switches, and wireless networks.
