The Role
As a Client Engagement Event Executive, you will be responsible for interacting with suppliers, trade partners, marketing, senior management, and clients through face-to-face meetings either in the office, at suppliers’ premises, or at PR events. You will keep up to date with all marketing events for the year and diarise loyalty events around these and be responsible for all staff social events from a health & safety, risk assessment, insurance, and liability perspective, as well as maintaining the calendar, invitations, communications, and intranet. You will also work closely with the Partnership Manager to ensure funding is offered where available. Actively collate feedback from both Client and Employee events and take this into account when planning future events.
Role Responsibilities
Work with the Client Engagement Manager in planning a timetable for smaller scale client events as well as managing the calendar for virtual client events. You will be responsible for the organisation and planning of events with the support of your Manager and Client Engagement colleagues by:
* Closely following the Client event process
* Deciding on an event or using a brief provided by Marketing or Client Engagement Manager
* Deciding on employee attendance (including Senior management/directors by liaising with Executive Assistants)
* Providing regular updates to the marketing team on all planned events
* Finding and securing venues
* Deciding on client data criteria working with the CRM team – radius of event, Elite/Multi Repeat
* Using data to inform which clients would be best suited to attend the event to increase engagement
* Coordinating invitations with the CRM team and marketing to ensure high-quality, engaging invites are produced and sent efficiently
* Consistent upkeep of Client Event spreadsheets and data for reporting purposes
* Attending and overseeing each event
* Presenting short employee briefings prior to events to clarify roles and responsibilities
* Managing client feedback post-event and keeping all client profiles up to date
* Effectively managing any budget granted for Client Engagement loyalty events
* Working closely with Marketing in managing client data, guest lists, and branding for client events
Employee Events
Work with the Head of Social Committee and the social committee in planning and assisting the execution of Audley Employee Social events.
Audley Travel operates a 7-day week experience for our clients. Working with us, you can expect the majority of your time to be worked between the hours of 9:00 am – 5:30 pm Monday to Friday. This role will require flexibility, within reason, with regards to timings and locations for events.

About You
You will have previous experience of working within an operational environment of a tour operator, preferably focused on F.I.T. You will have a strong customer focus with a solid understanding of the value of Audley’s Repeat and Recommend model.

* Comfortable interpreting statistics and providing reports
* Ability to work on projects alone and within a team
* Highly organised and proficient in prioritising workload
* Always maintains a high level of attention to detail
* Previous experience of effectively managing budget spend
* Previous experience of completing compliance forms and tasks for events
* Previous experience of working within an event-focused role is desirable
