We are seeking an experienced administrator to join the expanding well-being team in Gloucester on a temporary basis, from Monday to Friday, 9:00 AM to 5:00 PM, offering £11.44 per hour. As an administrator, you will provide administrative support to Gloucestershire Service. You will work with the Head of Service and the rest of the team to ensure the smooth running of the office and the administration of the programs to meet targets and deadlines. Key Responsibilities: Undertake various administrative duties for the service, such as drafting patient and health professional letters, updating patient databases, managing appointment bookings, handling telephone queries, and communicating with health professionals and colleagues. Demonstrate initiative and experience in working independently within an administrative role. Manage incoming calls, ensuring they are routed to the appropriate person/department and messages are promptly dealt with. Work collaboratively within a busy office environment, providing general clerical and administrative support, including word processing and filing routine correspondence, following established systems for task allocation and completion. Deliver professional administration services to clients, identifying their specific needs and maintaining confidential patient files both digitally and in hard copy. Efficiently handle incoming healthcare referrals in adherence to company timelines. Schedule appointments for clients using suitable calendar software. Accurately record client data on the relevant service database. Utilise IT systems for information exchange, including proficiency in Excel and Word, along with internal databases. Assess and encourage clients' readiness for specific behaviour changes. Collaborate with service leads to identify new venues. Monitor workload and service targets on a weekly basis. Perform general administrative tasks such as record-keeping and filing. Required Skills and Competencies: Proven experience as an administrator within health and/or community settings. Experience in Microsoft Office and familiar with health-related database systems. A positive and proactive approach to work, capable of handling multiple tasks efficiently. Excellent communication skills, with a welcoming and positive demeanour in interactions with patients, health professionals, and colleagues. Ability to build strong relationships and work effectively both as part of a team and independently.
