Joining us on a full-time permanent basis, you will receive a competitive salary plus excellent benefits. About the role As our Executive Assistant (EA), you will work exclusively alongside and reporting to the CEO’s primary Executive Assistant to plan, resource and effectively manage the CEO full suite of administration and assistant work. You will cover for the primary EA where required so will need to ensure attention to detail and strong relationships are formed with the CEO to ensure a dedicated service is resumed. This is an extremely varied and fast paced role so the successful candidate will need to show strong confidential, organisational and willingness to go the extra mile to ensure all tasks are completed in a timely manner. This role is an onsite role and hybrid working will not be considered for this position. What you’ll be doing: Working alongside the CEO’s primary EA to ensure the highest level of support is always given to the CEO. Management of all inbound communication and efficient communication to CEO Maintaining spreadsheets, trackers and CEO’s annual meeting calendar Ensuring the CEO has relevant documents for any upcoming meetings. Email monitoring and actioning where necessary. Management of direct correspondence with high profile contacts (e.g. MP’s/EA/OFWAT/DEFRA/LEP) and internal stakeholders. Responsible for always delivering exceptional service and exceeding expectations. Composing and preparing correspondence that is sometimes confidential. Arranging complex and detailed travel plans, visas, itineraries, and agendas. Compiling documents for travel-related meetings. Arranging catering for Executive meetings when necessary. Works closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, and other tasks that facilitate the CEO's ability to effectively lead the company. Preparation of Board & Committee papers Maintain CEO’s direct reports holiday/ sickness records. Ad hoc administration tasks What we are looking for: Previous secretarial/EA/PA work in a busy office environment Experience of providing support at executive level Excellent organisational and planning skills with the ability to prioritise own and Executive Team’s workload. Accurate written and clear verbal communication skills A good listener with the ability to respond to issues in a positive and supportive manner Ability to work confidentially with discretion.
