Engineering Administrator & Medical Device Lead | Reading | Competitive salary plus excellent benefits |
Working hrs and days - Monday-Friday - normally 8-4 but can be flexible so 7.30-3.30 is fine as is 8.30-4.30
Job Purpose:
To provide a complete administration service to our engineering team, acting as point of contact for the team. Liaising with departments and contractors, chasing quotes and invoices and ensuring any urgent faults are brought to the attention of the engineering team. Co-ordinate the management and servicing of clinical equipment and assets register.
Duties and Responsibilities
1. Engineering Administrator:
* Provide point of contact for hospital departments requiring the engineering team.
* Maintain faults log on Pirana system, generate work orders and manage closure of tasks.
* Monitor overdue tasks bringing them to attention of the engineering manager.
* Liaise with Contractors and hospital departments to book in required works.
* Chase quotes, purchase orders etc. and ensure parts are ordered.
* Check invoice queries with engineer and business office for sign off.
* Manage approved contractors ensuring all regulatory documentation is in date and recorded on Pirana.
* Manage and maintain assets register and similar databases in line with Spire policies.
* Ensure engineering records are stored securely with no unauthorised access.
* Provide works status reports to Manager and Operations Director.
* Update regulatory policy documentation as requested by engineer.
* Ensure all emails and telephone calls are answered promptly.
* Carry out any other duty that reasonably falls within the general nature and level of responsibility of the post.
* To undertake training as and when required.
1. Clinical Equipment Co-Ordinator:
* Monitor clinical equipment service register on Nuvolo system, flagging items overdue for service with relevant department equipment facilitator.
* Conduct audits of clinical equipment register and feedback to SMT and department leads.
* Be point of contact for equipment service contractors.
* Work with Facilitators to ensure equipment is available for servicing.
* Update new and obsolete equipment.

* Excellent IT literacy including using Spire's Patient Admin System, Outlook Theatre Diaries, Excel, and Business Objects.
