Eden Scott is delighted to be retained by our client to recruit for a Finance and Office Manager. This a unique opportunity to work on one of the finest sporting Estate's in Scotland, situated in the stunning countryside near Forfar in Angus.
The Finance and Office Manager role is pivotal in the smooth running of the Estate, and it's a varied role with the main duties listed below:
Payroll - Send information for monthly payroll to accountant, in the German head office. Check payroll is accurate and pay through bank account. Put together report for our head office of monthly payroll. Prepare contracts, tenancy agreements and offer letters for new starts and collect information for payroll.
Accounts payable - Ensure invoices are correctly addressed, filed through Docuware for approval by the Estate Manager then coded for payment once approved. File paper copies in barcode order.
Accounts - Assisting with the preparation of annual budget and monthly accounts. Providing information regarding accounts as and when required. Working with our accountant to ensure information kept on SAP and Docuware is accurate and up to date. Providing information to auditors regarding annual accounts. Ensuring annual accounts and financial statements are signed by Directors so they can be filed.
Petty cash - Keeping petty cash records up to date along side our management team. Processing receipts monthly.
Beaters wages - Ensuring there is sufficient cash held in the safe to pay beaters wages on shoot days. Keeping an accurate record of payments made and balance against cash held on each shoot day. Preparing list of beaters for Head Keeper and providing information for each beater to be added to payroll.
Vehicles - Keep record of all vehicles and larger equipment up to date. Advise insurers when vehicles are bought or sold. Book MOT and servicing as required and monitor mileage on a monthly basis to ensure services are carried out on time. Ensure tax is paid on all vehicles as needed. Process insurance claims. Ensure all documentation is filed.
Utilities - Ensure all properties are on the company account as they are taken "in house" and that bills are accurate. Check council tax bills when they come in and update council when occupancy changes during the year.
Official forms - Ensuring all Office of National Statistic forms are filled in accurately and in time. This includes a monthly salary and wages report.
Staff - Ensuring staff records are kept up to date and assist the management team with bookings for training courses and the training certificates are filed appropriately.
Meetings - Taking minutes at fortnightly estate meetings and distributing to all involved. Scheduling meetings for the estate staff as required.
IT - dealing with any updates from Head Office and reporting any problems with the systems operating. Ensure that all new management staff are provided with an email address and assist with adding this to their phones or computers. Purchase any new IT equipment required and work with our IT support on setting them up for each user.
Administration - providing administrative support to the Estate Manager and staff as required. Includes general correspondence, tenancy agreements, employment contracts, leases etc.
