Job Title: Site Project Administrator Location: Sunderland, UK Salary: £31,200 - £39,000 Job Type: Contract About the Role: We are seeking a highly organised and detail-oriented Site Project Administrator to join our team. In this role, you will provide essential operational support to on-site project managers, engineers, and project teams, ensuring the successful and timely completion of projects. You will also support Project Managers and Health and Safety Managers with general administrative tasks to maintain smooth operations on-site. Key Responsibilities: - Monitor cost/sales budgets, including variations, general cost tracking, and purchase orders. - Compile daily project cost tracking reports for review with the Project Manager. - Monitor and analyse project progress, preparing drafts of monthly payment applications promptly. - Track resources and cross-reference weekly timesheets. - Track purchase orders and communicate their status to the Project Manager. - Prepare monthly major contract review presentations. - Document and maintain records of all project-related meetings for external audits. - Assist the Health and Safety Manager/Advisor with on-site reporting. - Maintain price files and ensure all relevant documentation is complete, chasing missing documents as needed. - Collaborate with the central finance team and project team to ensure efficient sales invoicing processes. - Keep a record of training in the project training matrix. - Complete and submit weekly reports in coordination with the project team. - Provide general administrative support to the project team. - Arrange meetings and events, taking minutes as necessary. - Contribute to continuous improvement processes and drive efficiency and standardization. Experience and Qualifications: - Excellent administrative skills with attention to detail. - Proficiency in Microsoft Office applications (Excel, PowerPoint, Word, Dynamics, Outlook). - Strong written and verbal communication skills at both technical and professional levels. - Experience in finance administration. - Customer-focused with a high level of professionalism. - Detailed and analytical approach. - Ability to work independently or as part of a team, handling pressure and adapting to changing situations and personalities. - Strong collaborative skills to achieve operational delivery. - Consistent performance under pressure and tight deadlines. - Excellent time management skills with the ability to prioritize multiple tasks effectively.
