As a Facilities Assistant, you’ll play a pivotal role in ensuring the smooth functioning of our UK offices. Working closely with the Facilities Manager, you’ll be integral to maintaining our office operations and contribute to a positive and safe workplace environment. What you’ll be doing: Resolving day-to-day facilities and maintenance enquiries from staff and liaising with external visitors, contractors and suppliers. Supporting the Facilities Manager in maintaining health and safety legislation compliance. Performing regular inspections of the buildings, including the plant room, to identify any maintenance needs or potential safety hazards. Carrying out minor maintenance tasks as the first line of response. Training will be provided to ensure these tasks are performed safely and effectively. Escalating maintenance issues to William Reed’s approved contractors, and recording and communicating these issues to staff. Assisting the Facilities Manager with all matters relating to the management and control of waste and recycling streams. Working alongside the team to issue and cancel staff and visitor door passes. Maintaining accurate records of issued passes and ensure security protocols are followed. Working with the Facilities Manager to oversee the Brighton office, including solving health and safety and maintenance issues, liaising with staff and building management, and supply and stationary ordering. Providing visitor services at the Gatwick office alongside the facilities team, to include welcoming and assisting visitors at reception, and handling queries. Assisting the Facilities Manager in maintaining a high level of security within the company and its property. Managing the post room operations, including sorting and distributing incoming mail and preparing outgoing mail for dispatch. Dealing with all aspects of courier receipts and despatches. Assisting other team members with sorting of incoming magazine returns where required. Providing porterage services, including the movement of furniture, equipment, and other items as needed, as well as assisting with office setups for events and meetings. Providing cover for the Facilities Manager during leave and absence from site. Taking part in the on-call emergency phone rota and dealing with any arising issues accordingly, including keyholding duties where applicable. Supporting the Facilities Manager with the London office, where required, and any other reasonable facilities tasks. What you’ll need: Strong experience in customer facing roles, ensuring a positive experience and addressing any issues that arise. Experience in health and safety matters would be beneficial. Excellent verbal and written communication and interpersonal skills, to ensure clear and effective communication with colleagues, visitors, and contractors. A good understanding of Maths and English. Strong computer skills, particularly in Microsoft Office (Word, Excel, Outlook, etc.). A proactive and flexible approach in identifying and addressing needs within the office environment and a willingness to help colleagues and visitors, ensuring a smooth and efficient operation. A dependable and reliable team-player who can work effectively under pressure in time-sensitive situations. Excellent problem-solving skills to address minor maintenance or operational issues promptly with the ability to apply logical thinking and practical solutions to overcome challenges effectively. Highly organised with the ability to prioritise tasks effectively. Outstanding attention to detail. Willingness to travel to UK based offices in Brighton and London (travel will be reimbursed) and able to join the rotating emergency on-call rota during evenings and weekends. DIY or mechanical and engineering skills would be advantageous but not a requirement. A health and safety qualification or course attendance (such as IOSH Managing Safety) would be a major advantage but not a requirement.
