The Opportunity: Rovco are recruiting an Executive Assistant to support our Chief Operating Officer. Reporting to the Lead Executive Assistant, the Executive Assistant will thrive in a high-performing environment. The ideal candidate will act as the “right hand person” to the COO, interacting seamlessly and with professional demeanour across a broad range of individuals including the Executive and Senior Leadership Team. This role would suit an individual who is confident in their ability to work independently to achieve outcomes from day-to-day responsibilities to more complex value-add projects. The Executive Assistant will also act as the Office Manager, co-ordinating local administrative and facility functions, ensuring their local site is an, inviting, professional and exciting place to work. Main Responsibilities Work directly with the Chief Operating Officer to support all aspects of their daily work routine. Maintain the Chief Operating Officer calendar, including scheduling meetings, appointments, travel (may include domestic and international), arranging dinners, social events, and any public appearances. Manage expenses for the Chief Operating Officer and their team. Organise and attend meetings, take minutes, capture action items, and ensure follow through. Support the Chief Operating Officer and wider team with general administrative duties, such as preparing memos, letters, presentation decks, and other documents. Manage phone calls, taking messages, and supporting external visitors or guests. Deal with highly sensitive and confidential information appropriately, demonstrating a high level of emotional intelligence. Ownership of ad-hoc projects and activities from conception to completion Maintain an organised office environment, managing office and kitchen supplies, and replenishing as necessary, ensuring the office is set up to welcome staff and visitors alike. Act as the primary point of contact for the office, greeting visitors professionally and handling phone calls and messages. Manage supplier and facilities contracts. Liaise with QHSE to ensure a safe working environment. Assist with travel booking and general admin for the local teams. Excellent communication skills, both verbal and written. Experience using the full Microsoft Office Suite. Ability to represent their Executive, acting as an extension of that person and always ensuring discretion and confidentiality.
