Company Overview - Senior Finance Assistant
Our Client is currently looking for a Senior Finance Assistant to join their highly valued team on a full-time basis. This Company is a reputable business with over 20 years' experience within the Industry. This Company is part of the manufacture sector and offers various services such as external furniture from benches, cycle racks, etc.
Senior Finance Assistant Role and Responsibilities:
1. Accounts Receivable
1. Creation of ID Factoring Schedules from receipts/sales invoices/retentions
2. Drive, manage and maintain all administration of credit control processes
3. Manage all proforma receipts with projects ensuring update of information in a timely manner
4. Creation of sales invoices, track & action retentions and credit control; customer queries
5. Manage deferred income invoices/credits and monthly reconciliation
6. Daily ID Factoring cashflow analysis & monthly reconciliation
7. Manage project sales data into Sage 50
2. Account Payable
1. Manage project costs data into Sage 50
2. Prepare the monthly supplier pay run, ensuring cashflow operating system is managed
3. Input and review purchase invoices on Sage 50, ensuring proper coding and nominal allocation
4. Work cohesively with projects to review sub-contractor purchase invoices and handle all queries
5. Monitor employee expense claims
6. Manage and maintain pending purchase invoices including monthly reconciliation
7. Monitor credit and charge card transactions & monthly reconciliation
8. Ensure all unallocated payments are allocated
3. Reconciliations & Month End Reporting
1. Manage and maintain CIS Statements, associated credit notes; input into Sage, produce monthly report and upload to HMRC
2. Reconciliation of all Bank Accounts
3. Prepare and submit the monthly VAT return, ensuring compliance with regulations
4. Drive and maintain month-end processes are completed within all functions ready for project reconciliation
5. Create monthly payroll financials and payroll analysis
6. Create monthly pension contributions and upload summaries
7. Create payroll & PAYE consolidation journals
8. Create and analyze project financials reconciliation, highlighting trends and correcting discrepancies
9. Support the Finance Director in financial analysis and reporting
4. Other Finance Areas
1. Manage the finance inbox and serve as the primary point of contact for finance-related inquiries
2. Collate and create financial information for scrum notes
3. Assist in implementing new procurement procedures and systems to improve efficiencies
4. Primary contact with all stock queries with the Production department
5. Administration of post
6. Maintain all reports within Sage 50
7. Maintain sign-off of small projects, ensuring risk mitigations have been carried out
8. Update Financial Contractual Information with all retention payments
9. Update commentary on monthly management reports
10. Support other functions with financial queries
11. Carry out any other duties as reasonably required
Senior Finance Assistant Skills and Experience:
1. A drive and enthusiasm to grab hold of opportunities
2. Recognised Accountancy qualification (AAT Level 4 qualified)
3. Experience within the construction industry or equivalent experience
4. Experience of working in a finance environment
5. Experience with Domestic Reverse Charge (VAT)
6. Working knowledge of Sage 50 & Microsoft office especially Excel
7. Previous experience in a senior finance role
8. Numeracy and analytical skills, compliance-oriented
9. Excellent interpersonal and communication skills
10. Organized, strong attention to detail and accuracy in record-keeping
11. Able to prioritize to deadlines
12. Able to work effectively independently and under pressure
13. Understand the importance of confidentiality
14. A positive attitude and the ability to self-motivate is a must
