Fire Glass UK is one of the UK’s leading manufacturers, suppliers, and glaziers of full-time fire and acoustic glass, and is looking to appoint an Administrative Assistant on a fixed-term basis (maternity cover) for one year at their branch in Colchester.
You will join a busy team to provide efficient data and clerical support to the Sales and Estimating department.
You will have competent I.T. and data entry skills and office experience, as well as a high level of attention to detail, effective organisational and communication skills (both orally and written), and experience of providing excellent customer service.
As an Administrative Assistant, your role will involve supporting the team with essential administrative tasks. Your key responsibilities will include:
1. Document and Data Management: Prepare, sort, and prioritize documents for data entry, ensuring all customer orders and information are accurately inputted into our system.
2. Data Entry & Accuracy: Maintain accurate customer records by entering data into our systems, reviewing completed work for accuracy, and making necessary changes promptly.
3. Office Organization & Filing: Keep the office organized with up-to-date filing systems and assist with general office filing duties.
4. Communication Management: Handle incoming and outgoing calls, manage communications by answering inquiries, transferring calls, or taking messages as appropriate.
5. Customer Service: Respond to customer queries via phone and email, ensuring excellent service at all times.
6. Support with Office Equipment: Operate standard office equipment including printers, photocopiers, and fax machines, ensuring smooth office operations.
7. Team Collaboration: Assist with administrative tasks, ensuring that all records and reports are completed on time and contribute to team efforts where needed.
8. Operate Office Machines: Operate a variety of standard office machines, including PC, a variety of computer software including Microsoft Office, Company CRM, phone, and photocopying machine.
9. Communication: Communicate verbally and in writing with customers and relevant staff, as necessary.
10. Confidentiality: Maintain customer confidence whilst keeping information confidential.
11. Welcome Sales Packs: Send “Welcome sales packs” to new and existing customers.
12. Office Supplies: Order and maintain relevant office supplies.
13. Relationship Building: Establish and maintain effective working relationships with co-workers, supervisors, and customers.
14. Personal Development: Pursue personal development of skills and knowledge necessary for the effective performance of the role.
15. Other Duties: Undertake any other duties commensurate with the role as and when required.
