This role requires a skilled team receptionist with the ability to provide an efficient administrative service to the Community Forensic Services based in the office at Westminster House, Mapperley. This role requires a friendly, caring and energetic person who works well on their own and within a team.
This role will include:
1. Welcoming clients/visitors to the building, ensuring they check in/sign in the visitors book.
2. Ordering equipment on the procurement system.
3. Logging issues with the building to estates & facilities.
4. Doing the weekly building checks.
5. Checking the cameras and ensuring staff personal alarms are in working order.
6. Maintaining a positive can-do attitude and using own initiative.
Reception duties include:
1. Meeting patients, visitors, and staff and dealing with face-to-face/telephone enquiries.
2. Maintaining healthcare records including computerized systems and databases.
3. Receiving and making internal & external telephone calls from staff, service users/patients, members of the public, and external agencies, ensuring that messages received are appropriately signposted and actioned.
4. Preparation of clinics, ensuring up-to-date records are available.
5. Typing up correspondence as required (letters, memos, and reports etc).
6. Coordinating healthcare appointments for patients.
7. Implementing and maintaining adequate filing and follow-up systems.
8. Transferring individual and bulk files for archiving between locations.
9. Filing, photocopying, scanning, and attaching documents.
10. Inputting clinical data and maintaining it.
11. Identifying health and safety practices that are appropriate to self and others.
12. Participating in appropriate training courses and updates in accordance with mandatory requirements and undertaking a personal development plan.
13. Being flexible in the role and covering other areas to support the demands of the service.
14. Undertaking any other duties that would be a reasonable expectation of the role.
