What We Need
We are looking for an established, super organised Executive Assistant who enjoys a varied workload to join us in Brighton as Executive Assistant to the Studio President.
This is a key and varied role with the primary responsibility to support our Studio President with daily administrative tasks, scheduling, expense reports, communications, travel arrangements, minute and action taking.
Reporting to the Operations Manager, you have the benefit of being part of a wider support team whilst having a direct and key relationship with the Studio President. As part of the wider Operations Team, when capacity allows, you will have the opportunity to support projects and contribute to the workplace experience at our Brighton headquarters.
What You’ll Be Doing
* Manage the Studio President's diary, including scheduling meetings, appointments, and events across multiple time zones and locations.
* Arrange complex travel itineraries, accommodations, and logistics for the Studio President and occasionally for other members of the leadership team, coordinating with our offices in Prague, Brno, and Novato.
* Prepare and distribute agendas, presentations, and other materials for meetings, ensuring timely delivery to all participants.
* Attend meetings, take headline minutes, and follow up on action items as directed by the Studio President, facilitating communication and collaboration among team members across different locations.
* Maintain and organise the Studio President's email inbox, prioritising and flagging items for attention while respecting confidentiality and discretion.
* Where capacity allows, provide general administrative and project support to the operations department as directed by the Operations Manager.
* Assist other members of the leadership team as needed and where capacity allows, particularly in regard to travel arrangements, bringing a positive energy to the studio through your work.
What We’re Looking For
* Proven experience as an Executive Assistant, supporting senior leaders in a fast-paced environment, with familiarity in the video game industry a plus, but not a requirement.
* Exceptional organisational and time management skills, with the ability to prioritise tasks and manage multiple deadlines effectively, even across different time zones.
* Strong communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders across diverse cultural backgrounds.
* Proficiency in calendar management, travel coordination, MS Office suite (Word, Excel, PowerPoint, Outlook) and Google Suite (Docs, Slides, Sheets).
* Attention to detail and discretion when handling sensitive information, understanding the importance of data security and privacy in a creative industry.
* Ability to work independently with minimal supervision and as part of a team, demonstrating flexibility and adaptability to accommodate changing priorities and work demands in a dynamic studio environment.
