Reception/Business Support Administrator - Fixed Term
Te Tūranga - The Role

If so, we have an exciting opportunity for you to join our team as a Reception/Business Support Administrator to cover Parental leave until the 22nd of May 2026 at Tait Communications.
In this role, you will be the first point of contact for visitors, customers, suppliers, and staff, ensuring a warm and professional welcome. You will also provide vital business support, working closely with our Executive and Leadership teams to facilitate seamless operations. Your ability to anticipate needs, think critically, and offer solutions will be key to your success.
The duties of the role will include:
Reception:
1. Delivering a professional and welcoming experience for all visitors, both in-person and over the phone.
2. Managing the reception area and flagship meeting rooms to ensure a clean, organised, and professional environment.
3. Coordinating meetings: including scheduling, catering, and audio-visual requirements.
4. Handling incoming and outgoing emails, calls, and courier deliveries efficiently.
5. Overseeing the security card system for employees and contractors.
6. Managing office supplies, including stationery and canteen items.
Business Support:
1. Providing confidential business support to the Executive and Leadership teams (as required).
2. Arranging meetings, coordinating diaries, and ensuring smooth logistics.
3. Supporting administrative tasks such as travel arrangements, expenses, and accommodation.
4. Assisting with key corporate events and visitor experiences.
5. Raising purchase orders in SAP Public Cloud.
6. Supporting HR initiatives such as staff instant rewards, annual flu vaccination coordination, and organisation of new starter induction meeting programme.
Ō pūkenga - About You
To be successful in this role, you will have a relevant tertiary qualification and/or relevant experience in administration or customer service.
As well as:
1. Strong interpersonal and communication skills, with a professional and welcoming approach.
2. Exceptional organisational skills and the ability to multi-task in a fast-paced environment.
3. Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
4. A proactive and adaptable mindset, with the ability to work independently or as part of a team.
5. Experience with SAP and audio-video conferencing equipment is desirable but not essential.
