We are seeking a highly organised and detail-oriented Site Administrator / Document Controller!
The successful candidate will be responsible for managing and controlling all project documentation, ensuring compliance with company procedures and standards. This role requires excellent administrative skills, a strong understanding of document control processes, and the ability to work collaboratively with various departments to support project delivery.
Key Responsibilities:
- Manage and maintain electronic and hard copy documents as per company procedures
- Review and update documents to ensure they are complete, accurate, and in compliance with standards
- Ensure all documents are easily accessible in the document storage system
- Coordinate with different departments to facilitate the document control process
- Monitor the retrieval of documents and ensure timely distribution to relevant stakeholders
- Provide subject matter expertise and coaching on the use of common data environment (CDE) software to project teams and subcontractors
- Ensure accurate control of documentation from pre-construction through to completion and archiving
- Manage different review workflows, consulting closely with project design managers, site teams, design teams, subcontractors, and external suppliers
- Liaise with project teams to ensure they have a full understanding of the document control procedure and CDE system procedures
- Provide feedback to design and project managers on documentation issues
- Manage business archiving to ensure documentation is stored efficiently and can always be accessed and referenced
- Understand and conduct role-specific requirements of the Information Management Systems and help identify opportunities for improvement
Requirements:
- Proven experience as a Document Controller or similar role
- Proficient in IT systems and Electronic Document Management Systems (EDMS) used in documentation control (e.g., SharePoint, BIM360, Aconex, ViewPoint)
- Understanding of ISO19650 file naming regulation standards
- Basic understanding of Building Information Modeling (BIM) and digital tools
- Excellent administrative and organisational skills
- Strong attention to detail and accuracy
- Good interpersonal and communication skills
- Ability to work collaboratively with various departments to achieve the best outcome for the business
- Determination to see tasks through to completion with excellent planning and organisational skills
