Assistant Property Manager
1. Purpose of the job
We are seeking a dedicated and organised Part-Time Assistant Property Manager to support the efficient management of our housing portfolio. This role focuses on the administrative aspects of repairs and maintenance, contractor coordination, compliance reporting, and property inspections. The ideal candidate will thrive in a fast-paced environment, working collaboratively with internal teams, external contractors, and tenants to deliver high-quality service.
2. Reporting and working relationships
The successful candidate will report directly to the Senior Property Manager and work closely with the property services department, support workers across the organisation, and the leadership team. The candidate will need to be confident at communicating with external clients and support workers across the organisation. Tenant interaction will be a requirement as many of the tasks will be in their properties. Occasionally there will be a requirement to work with external contractors and our Cleanstart team to complete tasks.
3. Salary
£24,242.40 FTE - £14,742 Part-time salary
4. Hours
22.5 hours weekly working across 3 or more days. TLA has an Agile working policy which can be discussed with the successful candidate.
5. Location
This role will be based at our central location at Photon House in Armley, LS12 1EL. However, due to the nature of the job role, there may be property visits to undertake across our range of services.
6. Key responsibilities
Repairs and Maintenance Administration
* Coordinate and manage repair requests, ensuring timely responses and efficient resolution.
* Liaise with contractors to schedule maintenance work, ensuring adherence to timelines and budgets.
* Maintain accurate records of repair works, invoices, and contractor communications.
* Support the Repairs Manager with administrative tasks related to maintenance and repairs.
Compliance and Health & Safety
* Work with the Compliance and H&S coordinator to monitor and report compliance information, including gas safety, electrical inspections, and fire safety checks.
* Assist in maintaining up-to-date records for all statutory compliance requirements.
* Help implement and monitor health and safety policies, ensuring all properties meet required standards.
* Carry out property inspections to identify any maintenance or compliance issues.
Support and Collaboration
* Work closely with internal support workers to address tenant concerns related to repairs and property conditions.
* Provide administrative support to the Repairs Manager, including generating reports and updating systems.
* Act as a point of contact for contractors and ensure clear communication of work requirements.
7. Experience and expectations
* Proven experience in an administrative role, preferably in property management or social housing.
* Strong organisational skills with the ability to prioritize tasks and manage time effectively.
* Excellent communication skills, both written and verbal.
* Familiarity with compliance and health & safety requirements in a housing context.
* Proficiency in Microsoft Office (Word, Excel, Outlook).
* A proactive and problem-solving mindset.
Desirable
* Experience working within a social housing or charitable organization.
* Knowledge of repairs and maintenance processes in residential properties.
* Understanding of relevant housing regulations and legislation.
