Who are we?
CodeBase is a tech ecosystem support organisation and startup incubator that helps people build better tech startups. We help people build and grow better tech startups through community, education, and workspace.
CodeBase has created and delivers startup programmes for a number of organisations including the Scottish Government, the UK Government, Local Authorities and large corporations. We promote and facilitate collaboration in tech innovation by working with startups, scaleups, corporates, governments, academia, investors and the third sector. CodeBase also delivers scaleup and corporate programmes across industry verticals such as law, health and energy, which connect and educate corporates, startups and scaleups.
CodeBase has offices in Edinburgh, Glasgow, Stirling, Aberdeen, Dundee, and Inverness, and a partnership with Hometown Hub in the South of Scotland.
CodeBase offers flexible workspace (hotdesking, coworking and office space), delivers expert accelerator and mentorship programmes, hosts a peer-led community for people in the startup ecosystem to meet and connect with each other, and delivers a wide range of collaborative industry-startup bridge programmes.
What are we looking for?
You’ll be part of a small Operations team, covering Finance, HR, IT, Building Management, Legal and other areas of general business operations. We have our individual areas of work, but also work closely together to cover overlapping work projects.
You’ll be highly numerate, with excellent attention to detail and a drive to see work through to completion. We’re looking for someone who is adaptable, has an interest in developing processes and can communicate finance requirements to non-finance colleagues in an accessible and straightforward manner. You’ll be finance focussed and understand the priorities for this work, but also able to work collaboratively with Operations team colleagues to complete joint projects. We need a Finance Coordinator who can work independently, but also knows when to ask for support and is comfortable approaching a variety of colleagues and external contacts to ensure you have the information required.
This is a new role which has been created to support CodeBase’s expansion.
What will you be doing?
Supporting the Finance Manager with the day to day running of the finance function
* Completing regular monthly bookkeeping tasks (eg. expenses processing, reconciliations, receivables and collecting information)
* Sending reminders and following up with colleagues in other departments to ensure expenses and timesheet records are completed correctly and on time.
* Ownership of the accounts inbox - processing invoices, responding to queries and chasing receivables
* Reconciling payments (e.g Spendesk, Amazon, izettle, council rates)
* Sales invoicing
* Contributing to and enacting new finance processes
* Updating finance guides, resources and training for internal use
* Liaising with external accountants on a variety of tasks (eg. payroll, VAT returns)
* Setting up weekly payment runs
* Bank reconciliation
What do we need from you?
* 2+ years experience in an accounts or bookkeeping role
* Experience working at a company through a time of significant growth or change
* Experience of using Xero (or similar accounting software)
* Experience of creating spreadsheets, including using complex formulas (N.B we use Google sheets rather than Excel)
* An ability to prioritise and independently plan workload to ensure deadlines are met
* Excellent communication skills, written, online and in person
* High attention to detail

* Experience of writing internal guides for finance processes
* Experience of working in a startup or scaling company
* Experience of budgeting and forecasting
* Experience of working with external stakeholders (eg accountants, local councils, HMRC)

About the job
Work Days: This role is 28 hours a week over 4 days, 9am - 5pm
Location: Edinburgh - 37a Castle Terrace (close to main bus routes and train stations)

Contract: Permanent

The Process
We hire by posting a job description on our website and other online job boards, asking applicants to complete an application form with specific role related questions and to submit a tailored CV.
