About the Role
We are excited to offer the opportunity for an Administrator to join our team in Rye. The Administrator will support with extensive travel arrangements and project admin for a busy team of offshore QA (Quality Assurance) specialists, as well as general office tasks and ad-hoc support for the Directors. The role is permanent and based in Rye, with working hours of 9.30am to 2.30pm, Monday to Friday. This opportunity would suit someone with excellent attention to detail, confidence and professionalism when communicating and who is able to prioritise and juggle multiple tasks at once. The Administrator will report to the Directors.
Job Description
The successful candidate will need excellent administration and communication skills and the ability to remain calm under pressure. Good IT literacy is required along with the ability to work with minimal supervision once onboarded and confident.
Tasks include:
* Onboarding QA specialists: ensuring background checks have been completed and required documentation/certification is in place so that specialists can travel offshore.
* Arranging Travel planning & itineraries: extensive travel planning/booking for QA specialists on regular shift change; collating and communicating itineraries and dealing with changes.
* Maintaining records: (MS Excel) of travel plans, costs and changes.
* Point of contact: being first point of contact for QA specialists from onboarding to project completion.
* Finance admin: reviewing all incoming invoices; maintaining purchase order log; supporting the Directors with collating supporting documentation for client invoicing.
* Ad-hoc admin support for the Directors.
Experience of providing team support or arranging travel would be beneficial but is not essential.
