Support and order supplies and maintain an inventory of medical supplies. Routinely travel to the satellite offices to stock medical and office supplies in support of the clinical staff. Coordinate ordering of medical and phlebotomy supplies for Clinical Services for the agency as needed to maintain inventory. As necessary, coordinates disposal of hazardous materials. Researches vendors through the internet and/or catalogs, to obtain the best price for requests for special supplies. Uses “Track-It” to enter and complete special orders. Fills VNA bags for new clinical staff as needed. Orient new staff to the supply process for emergency box replenishment and reviews on a group or individual basis the supplies received. Orders and replenishes worn equipment for clinical staff. Sorts and enters patient medical supply invoices into Novius Home Care Financial system to ensure appropriate billing to patient accounts. Troubleshoots and tracks problems. Tracks supplies and equipment given to clinical staff. Tracks maintenance of medical equipment (scales-twice annually). Includes, contacting the Town of Barnstable to calibrate the upright scales in each office. Tracks, by identifying case managers, and distributes Quest requisitions as received. Mail and fax distribution as indicated. Courier medical, Allied equipment and forms to the satellite offices when requested. Maintains patient education file in each office and provides a supply of patient handouts for clinical use. Replenishes and orders office supplies by notifying appropriate person(s). Assures office equipment, including copier, telephone, printers are in good working order, contacting appropriate persons as necessary with repair requests for all sites. Maintains Policy and Procedure manuals in each of the satellite offices by replacing updated materials as directed. Ensure prior and re-authorization for supplies obtained as per the individual insurer and maintains documentation of all authorizations for services. Facilitates communication between clinician and physicians regarding the patients plan of treatment, as required to ensure quality, appropriate and cost effective care and utilization of supplies. Ensure compliance with all regulatory agencies including Medicare, Medicaid and DPH. High School diploma or equivalent. Minimum two (2) years’ experience in an executive medical office setting. Excellent interpersonal skills having the ability to work independently and cooperatively in a team setting. Knowledge of MS Office and automated medical supply inventory system preferred.
