The Opportunity:
We currently have an opportunity for a 15-hour per week permanent Customer Service Assistant in our busy Venues Team. The role will include maintaining high standards of customer service, setting up and facility management of our customers bookings and ensuring security and safety of the building and occupants throughout.
The role offers the opportunity to be involved in the operation of our busy meetings, wedding and event venues at Braintree Town Hall, Plaza at Gt Notley and I-Construct in Braintree. You will be working in a small but very customer focussed team who are passionate about what they do.
Experience:
You will need to have experience of customer service; organisation and problem-solving skills; awareness of health and safety and preferably basic maintenance knowledge. Experience of hospitality and event support is also desirable with an ability to communicate effectively and work well as part of a team. You will need to be able work to tight deadlines and be flexible to ensure that service objectives are consistently achieved.
The post consists of three 5 hours shifts on a Wednesday, Thursday and Saturday, times of weekday shift will either be approximately 8am - 1pm or 1pm - 6pm and will include some occasional evening work. Saturdays 8.30am - 1:30pm with an opportunity for overtime hours as operational need.
Accountabilities:
1. To ensure smooth running of operations at any given Venue and that all rooms are set up in accordance with customer requirements, ensuring that customers reasonable requests are met, and to clear away after the customer has left. Serving refreshments during their hire. This will include working across any of the three sites at any time and working some evening and weekends on a rota basis.
2. Open and secure the buildings, managing access to our Venues in accordance with BDC policies and procedures
3. Oversee outside contractors for repair work ensuring they comply to BDC Health and Safety policies
4. Perform minor maintenance jobs as required within the Venues and escalate any major building issues to the Venues Manager
5. Adhere to the petty cash handling procedures and claim as directed by the Venues Manager
6. Self Manage daily tasks required in each building to ensure buildings are high quality and safe experience for our customers and other staff
7. Actively promote the three BDC venues and maximise sales ensuring the team meet the yearly revenue target.
8. Ensure all heating, lightening and alarm systems work correctly in the buildings
9. To cover the reception desks at venues, when required.
10. To encourage customers to complete feedback forms, and to deal with any feedback/complaints in accordance with the process as advised by the Manager.
11. Working on a rota basis to cover evenings and weekend bookings, there will be an element of lone working.
12. To assist and also provide cover for other Customer Service Assistants as necessary and during sickness and annual leave.
13. To attend monthly staff meetings.
14. To attend training courses as required by the Managers.
Health and Safety
1. Maintain safe conditions and safe working practices within all the facilities.
2. Adhere to company and statutory health and safety procedures and policies.
3. Conduct weekly fire alarm, emergency lighting and first aid check tests for the Town Hall building.
4. Conduct weekly legionella tests and record online
5. Train other colleagues on building matters as direct by Venues Manager
