A well-established oil and gas company is seeking a Shipping Coordinator. In this essential role, you'll prioritise safety, quality, efficiency, and exceptional customer service. This is a temporary position based in Inverurie, with a duration of 24 months.
Leveraging your expertise in import and export freight, you will ensure the safe and timely shipment of products and materials. A key part of your role will be collaborating with stakeholders to secure freight estimates and execute customer shipment plans, with a focus on cost control while meeting timelines, customer expectations, and compliance standards. You will lead client communications, managing shipment orders, tracking requests, and handling return requests. As Shipping Coordinator, you will oversee the preparation and recording of all necessary documentation to enable smooth, uninterrupted delivery, ultimately achieving client satisfaction through the efficient and economical movement of goods.
Duties and Responsibilities Include:
* Organising the shipment of import and export orders by obtaining quotes from Freight Agents, preparing all relevant documentation, and liaising with other departments to gather necessary information.
* Communicating with customers and coordinating collections in line with FCA Incoterms.
* Completing accurate documentation, including commercial invoices and shipping orders, in compliance with regulations for the destination country.
* Ensuring all movements of goods, both imports and exports, comply with HMRC and NOV policies.
* Adhering strictly to International Trade Compliance procedures and regulations.
* Liaising with the NOV Brokerage Team to apply the correct customs regime for import shipments, ensuring compliance and accuracy at every stage.
* Coordinating with Sales, Production, Procurement, and Warehouse Teams to organise transportation of materials and equipment, managing customer orders efficiently and accurately.
* Addressing order flow issues, shipping delays, and quality control matters, such as damaged or improperly packed goods.
* Ensuring that shipping registers are up to date with accurate information, and that all documents are filed and archived properly.
* Updating production schedules and keeping Production Managers informed of all collections and deliveries.
* Assisting in the preparation for audits and inspections, both internal and external.
* Carrying out additional duties as needed to meet business requirements, as reasonably requested by the Line Manager.

Qualifications:
* HND in a relevant business qualification or equivalent.
* CILT related qualification.
* IATA/IMDG/ADR Dangerous Goods qualification.
Experience:
* Solid knowledge of logistics import and export procedures including customs procedures and Incoterms 2020.
* Experience in international sea, air and road transport operations and planning, knowledge of documentation requirements (CIPL, BOL, AWB, CMR, MRN).
Skills, training or special knowledge:
* Computer literacy (including good command of Microsoft Office Excel, Word, Outlook and PowerPoint).
