Finance, Administration & Events Officer - Teignmouth Town Council
As directed by the Town Clerk, this role primarily involves providing a front-of-house service to Council customers, with responsibilities including a variety of administrative tasks. The position requires managing the room booking system for Bitton House and offering secretarial support to the Mayor. Key duties consist of being the first point of contact for customers in person, by mail, email, or telephone, and managing all incoming and outgoing correspondence efficiently.
The role also involves issuing invoices for bookings, processing income according to proper procedures, and maintaining accurate financial records. Additionally, the individual will be responsible for organizing the Mayor’s civic receptions, maintaining the Mayoral Diary, and coordinating the Mayor’s attendance at events. General clerical support within the office, updating the website and social media, and assisting with event organization are also vital components of this position.
The position includes several general duties to support the Council’s operations. This involves attending and servicing Council meetings, assisting with the Planning Committee, preparing and managing invoices and receipts, and administering the Council’s grant program with full training provided. The role also necessitates undertaking bank reconciliations and preparing reports for Council meetings.
The postholder must establish effective working relationships internally and externally, supporting team spirit and upholding the Council’s core policies and procedures. Maintaining personal and professional development and promoting partnership working are important aspects of the job. The role requires maintaining a positive image of the Town Council, dealing professionally and respectfully with both internal and external contacts, including Councillors, officers, contractors, suppliers, partner organizations, and the public.
