Property Management Systems Co-Ordinator

What you will be doing:
You will provide key administrative support in the delivery of a full property and asset management service, being responsible for actively maintaining the property database, managing business controls and assisting with the payment process. Collaborating with key stakeholders to ensure the smooth running of a busy professional department with a large and varied portfolio of properties.
You will be required to:
1. Oversee the management and maintenance of the property database system to ensure accuracy and efficiency.
2. Administer and monitor Business Controls and the Property Procedure Manual, ensuring strict adherence to established business processes and protocols.
3. Drive innovation by identifying and implementing new and improved procedures to enhance operational efficiency.
4. Manage tenant rent demands, including the creation of invoices and ensuring accurate account reconciliation.
5. Oversee rent payments within the property database system, including the setup and monitoring of standing orders and receipt follow-ups.
6. Take full ownership of all payment processing and resolve any related queries in a timely and efficient manner.
7. Support the Head of Property and Property Managers by generating high-quality, detailed reports to assist with decision-making.
8. Collaborate with Property Finance to monitor and maintain budget integrity, ensuring that financial records are accurate and up to date.
9. Advise on the status of Non-Trading Properties (NTP), ensuring proper accounting within the correct financial period and overseeing credit control for NTP-related income.
10. Serve as the primary contact for resolving brand-specific queries related to rent and rates charges, ensuring clear communication and timely follow-ups.
11. Manage the VAT Option to Tax process, ensuring the property database is regularly updated for accurate status checks by Finance on Qube.
12. Prepare operational analyses and reports, providing the Head of Property and Property Managers with insights as needed.
13. Facilitate training and knowledge transfer of property systems to members of the support team, ensuring seamless operational continuity.
14. Collaborate with the National Payments Centre, Property Finance, and cross-functional teams to streamline processes and enhance departmental performance.
15. Provide comprehensive administrative support to the Property Department, ensuring smooth daily operations.
What you’ll need to have:
1. GCSE (or equivalent) in Math and English.
2. Experience in a professional office environment.
3. Strong knowledge of property data systems and data analysis.
4. Familiarity with banking systems, products, and processes.
5. High accuracy and strong numerical skills.
6. Capable of working independently or as part of a team, managing multiple priorities and meeting deadlines.
7. Flexible and adaptable, with the ability to handle diverse tasks.
8. Excellent verbal and written communication skills.
9. Proficient in Microsoft Office, particularly Excel.
10. Competent in using various software to maintain records and generate reports.
11. Experience monitoring and reconciling budgets (rent, rates, service charges, insurance).
12. Proven ability to take ownership of tasks and responsibilities.
13. Experience with electronic and paper filing systems.
14. Committed to ongoing personal and professional development.
15. Strong organizational skills and attention to detail.
16. Ability to share knowledge and skills with team members.
Desirable
1. Experience in a corporate or private practice environment with an emphasis on commercial property management and property asset management.
2. Knowledge of property management, Landlord and Tenant practices, laws, rules and regulations.
3. Knowledge of bookkeeping/accountancy practices would be an advantage.
