We are seeking a Part-Time Administration Assistant to join our dynamic team.
This role is essential to ensure the smooth operation of our System Integration Services at Lancaster Park in Burton upon Trent.
This is a new role that is expected to be part-time, based on approximately 20 hours a week, with flexibility available. The role might be suitable for somebody who needs to work around school hours, with a 10am start and 2:30pm finish potential working hours.
Key Responsibilities
* Greeting visitors, issuing security tags, and directing them to the relevant area or member of staff.
* Making guest drinks.
* Answering telephone calls and transferring calls, taking and distributing messages.
* Opening post, receiving deliveries, and taking them to the appropriate person.
* Ordering visitors' lunches or buying items (sandwiches, etc.) and preparing lunches.
* Taking documents/parcels to the Post Office as required.
* Buying kitchen/bathroom supplies (milk, coffee, tea, dishwasher tabs, air fresheners, loo rolls, kitchen rolls).
* Stationery orders.
* Drinking water orders.
* General office duties, including booking appointments for services (air conditioning, fire alarm, emergency lighting checks, pest control visits, etc.).
* Taking monthly electricity readings and confirming them to the electricity supplier.
* Moving waste bins outside every Monday and confirming with the supplier when offices are closed for bank holidays.
* Ensuring staff booked holidays are on the calendar and filing hard copies of holiday confirmations.
* Ensuring all staff timesheets are fully completed by the end of the month.
* Booking, cancelling, or amending rooms for staff on-site (approximately 15 a month).
* Intranet administration for timesheets and holidays.
* Arranging payments for various items/orders as requested by engineering staff, such as Amazon, training, and proformas.
* Arranging company events such as Christmas parties and anniversaries.
* Arranging services, MOTs, repairs, and tax on company vans.
* Maintaining company vehicle insurance information records.
* Maintaining records for employee driving licenses within the group.

* Competency in Microsoft Office applications, such as Outlook, Word, and Excel.

* Previous experience in an office-based administration role would be advantageous but not essential.
* Own travel essential owing to out-of-town location.
