Job Summary:
The Switchboard Operator is responsible for handling all incoming calls, directing them to the appropriate individuals or departments, and providing general information about the company. This role also includes greeting and directing visitors, maintaining visitor logs, and performing various administrative tasks as needed.
Responsibilities:
1. Professionally and courteously answer and direct all incoming calls, ensuring timely and accurate routing.
2. Operate a multi-line switchboard console efficiently and accurately.
3. Greet and announce visitors, ensuring they are comfortable and directed to the appropriate location.
4. Maintain visitor logs and issue visitor badges.
5. Provide general information about the company, including directions, hours of operation, and contact information.
6. Handle inquiries and resolve basic customer service issues.
7. Perform clerical tasks such as filing, data entry, and preparing correspondence.
8. Maintain a clean and organized reception area.
9. Assist with other administrative duties as assigned.
Qualifications:
1. Excellent communication and interpersonal skills, both verbal and written.
2. Ability to handle a high volume of calls in a professional and efficient manner.
3. Strong computer skills, and basic office software (e.g., Microsoft Office Suite).
4. Ability to multitask and prioritize effectively.
5. Excellent organizational skills and attention to detail.
6. Professional and courteous demeanour.
7. Ability to work independently and as part of a team.
