Main Duties and Responsibilities :
* Be responsible for the smooth running of the showroom office, dealing with enquiries by telephone, email and maintaining filing systems (both electronic and hard copy).
* Entering of data into XERO (Accounting software).
* To undertake word processing, electronic communication, telephone communication, filing, printing and photocopying work as required by the charity team, including the HR and Marketing teams.
* Basic marketing activities / reporting.
* Coordinating office activities and operations to secure efficiency and compliance to company policies.
* Supervising administrative staff and dividing responsibilities to ensure performance.
* Keep stock of office supplies and place orders when necessary.
* Manage phone calls and correspondence (e-mail, letters, packages etc.).
* Coordinate suppliers / deliveries for projects.
* Create and update records and databases with personnel, financial and other data.
* Track stocks of office supplies and place orders when necessary.
* Assist colleagues whenever necessary.
Qualifications :
* Proven experience as an office administrator, office assistant or relevant role.
* Outstanding communication and interpersonal abilities.
* Excellent organizational and leadership skills.
* Familiarity with office management procedures and basic accounting principles.
* Excellent knowledge of MS Office and office management software (ERP etc.).
* Qualifications in Secretarial Studies will be an advantage.
